Job Summary:
Responsibilities:
- Ensure consistency in deliverables of budgeting, financial analysis, capital planning, and contractor/vendor coordination and property inspections for multiple associations.
- Daily, weekly, and monthly reporting on property work orders. Ensuring proper billing to each association or department.
- Coordinate work order billing with HOA Finance and association boards to ensure accuracy.
- Provide exceptional service to boards, homeowners and guests, quickly addressing feedback in a professional and complete manner.
- Consistent task and project tracking, follow through and progress reporting to key stakeholders.
- Build and maintain relationships with homeowners, boards and associations.
- Support executive board meetings, annual members' meetings and special meetings.
- Support further development of a collective team and systems that build and maintain relationships with homeowners, boards and associations.
- Foster and reinforce partnership between critical internal departments, especially Engineering and Rental Operations Management
- Champion quality standards in all areas of the business with team and Homeowners.
- In addition to COA budgets, oversight of corporate budgets, P&L reviews, variance reports and forecasts for multiple company business units. Weekly and monthly financial reporting to COA Boards
- Oversee capital projects for company owned assets, and support the capital process related to COA assets as appropriate.
- Primary interface between Jackson Gore Owners Association, Solitude Day Lodge Association, Solitude Lots Group, and Okemo Mountain Resort / Vail Resort operations.
- Learn and administer all owner privilege programs
- Learn and administer all RCI activity for owners
- Distribute Rental Management Agreement (RMA) annually
- Create and distribute interval calendars annually
- Monitor RMA space holds Maintain accuracy on owner information in all systems
- Perform quality inspections on individual units daily
- Learn and administer space available (Space A) program
- Attend all owners meeting
- Assist Front Office Manager in front desk staff training
- Learn and be familiar with owner declaration/bylaws and RCI policies and procedures
- Develop and present owner service portion of orientation program
- Participate in Manager On Duty as required
- Exercises use of discretion and independent judgment with respect to department operations: assists with the operation of the department from an administrative level: has authority to interpret and implement policies and procedures of the department.
