ESSENTIAL DUTIES_

  • Serves as the receptionist in Administrative Services for Homeowners Association.
  • Makes copies and faxes for homeowners, as well as notarizing documentation for homeowners and administration. Sell tickets for events, stamps, and merchandise, etc.
  • Has primary responsibility for answering telephone calls and directs calls to the appropriate person.
  • Assists in maintaining the digital lot files for each owner.
  • Schedules the use of rooms and equipment via "Booked" software. (Ensuring reservation form is completed for private parties.) Works with the homeowner(s) or outside party to gain proper setup needs for individual events, then enters room configuration setup to the Booked software, so as to relay info to custodians/setup personnel.
  • Types monthly Calendar of Events Splash.
  • Ability to create flyers, and calendars within Canva.
  • Works closely with the Director of Facilities Maintenance to ensure room setups are completed in an appropriate and timely fashion.
  • Log in renters and provide proper renters cards. Ensure renters are aware of Association rules by asking and giving them a copy of the rules if they are new to Sun Lakes. Issues guest cards to homeowners.
  • Aids in enforcing Association rules and notifies Community Services or the General Manager.
  • Assists Human Resources with new employee onboarding photos, creation of timecards, and packet information.
  • Orders employee badges and business cards at the instruction of the Human Resources Director.
  • In the event of an emergency or if the fire department or paramedics are called, immediately notify Community Services.
  • Assist with the upkeep of the conference room, and order and stock items accordingly.
  • Possess the ability to read, write, and understand contractual agreements.

Education_

Associate's degree preferred, or equivalent combination of education and experience.

Experience_

1-3 years of experience in a similar position; or an equivalent combination of education and experience. Experience in adult community association _preferred_.

Certificates and Licenses_

Notary, or able to become Notary.

General office equipment, such as computer, printer, scanner, check scanner, fax, telephone, and postage machine.

MS Word, Excel, some knowledge and experience with general accounting software utilizing a general ledger module (a plus), Canvas (a plus); TOPS Membership/Property Management Software and MS Windows operating system.


Pay:
$ $20.00 per hour

Expected hours: 40 per week
