    Administrative Assistant Role Overview

    This is a temporary position that will cover for a maternity leave, spanning approximately 3-4 months.

    • As an executive administrative assistant, you will provide high-level support to senior executives, including the Executive Vice President, Chief Product Officer, and other top leaders.

    Key Responsibilities:

    1. Interface with various levels of the organization in a professional manner.
    2. Analyze complex information and requests to ensure timely and successful outcomes.
    3. Maintain confidentiality and professionalism when handling sensitive information.
    4. Manage schedules, materials, and logistics for meetings and conferences.
    5. Prepare communications and materials for executive meetings, including agenda development and management.
    6. Coordinate domestic and international travel arrangements, as well as meeting itineraries.
    7. Process purchase orders and invoices, communicating with vendors and tracking through payment and closure.

    Requirements:

    • 10+ years of progressive administrative experience supporting senior executives.
    • Excellent communication skills, both written and verbal.
    • Ability to communicate effectively with a hybrid workforce via videoconference and related technologies.
    • Proficient in handling executive customer inquiries and directing them to appropriate colleagues for resolution.
    • Thrives in a fast-paced environment, taking initiative and influencing others to achieve common goals.
    • Highly organized with strong attention to detail, managing multiple priorities.
    • Project management experience, focusing on time and task management, including clear timelines and work plans.
    • Experience managing budgets, maintaining and communicating financial data.
    • Strong skills with Microsoft Office applications (Excel, Word, and PowerPoint).
