Position Summary


The Scheduling Coordinator is responsible for producing and maintaining accurate and complete information in scheduling, developing and revising the daily schedule, performing check-in functions and billing for services and resources provided in compliance with the essential structural framework for provision of quality patient care.

Computerizes activities for efficiency and ease. Identifies unit or system problems and develops action plan for change. Develops systems for tracking accurate quantitative data. Initiates and develops effective communication to promote a cohesive environment and work relationships. Serves as a preceptor when training staff in the process of scheduling, journaling, and data entry.


Essential Job Outcomes and Functions

  • Schedules, develops, and revises the daily operating schedule to produce accurate and complete information. Performs all related duties as assigned. Ensures the final OR schedule is complete and accurate by 1700 daily. Ensures patient confidentiality when scheduling cases and posting the schedule.
  • Analyzes, correlates and processes patient records, reports and statistical data, ensuring accurate record keeping. Able to verify completeness of nurse's notes prior to inputting data. Ensures all patient charge sheets are entered in computer with allotted time frame. Serves as a preceptor to staff. Maintains scheduling program update and revision. Works closely with IS for management of computer program.
  • Assists in carrying out clerical skills which supports the efficient operations of the Surgery Scheduling Department and the OR Communication Desk. Computerizes activities for efficiency and ease. Identifies unit/system problems and develops action plan for change. Develops systems to tracking accurate quantitative data. Timely arrangements of meetings and coordination of scheduled impromptu meetings. Functions in OR secretarial role whenever necessary. Develops system to assure minutes are read by staff who missed meeting. Manages maintenance of documentation compliance as required by regulatory agencies. Maintains accurate and current files on reports, etc.
  • Initiates and develops effective communication to promote a cohesive environment and work relationships. Serves as a preceptor when training OR staff to the process of scheduling, journaling, and/or data entry. Ensures that requests for all specialty equipment is communicated to the service AUM in a timely manner, on the day of scheduling. Immediately notifies all appropriate personnel of all addon and emergency cases. Completes filing of correspondence, reports, etc, in appropriate manner. Immediately notifies appropriate personnel and departments of all canceled cases.

Qualifications

Minimum Requirements:


  • Two years' experience as a surgery scheduler in a hospital setting.
  • Advanced knowledge and experience of Computer scheduling program.
  • Ability to prioritize in a fastpaced environment with excellent communication skills (OR Front Desk).

Education / Licensure / Certification

  • High school graduate or equivalent
  • Medical terminology.
