POSITION PURPOSE


The
Project Coordinator oversees the scheduling, staging, tracking and reporting of the Division's daily activity and coordinates this activity with customers and Division employees.

This position assists with getting work crews, equipment and materials to appropriate locations according to customer requests, specifications or needs.

The Project Coordinator also completes several administrative tasks for the Division.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Employee shall perform all duties and responsibilities with Sunland's Core Values at the forefront.
  • Must be an advocate of safety and follow safety policies and procedures.
  • Responsible for coordinating the Production Calendar with Superintendents and Production Manager.
  • Attends weekly production meetings and takes notes.
  • Finalizes split maps in conjunction with superintendents.
  • Coordinates communications between customers and departments including scheduling preconstruction meetings and addressing questions, problems and requests.
  • Receives, prepares and transmits work packet and budget assignments for subcontractor jobs from Superintendents, then enters work into production calendar.
  • Reviews initial job cost reports and attends division job cost meetings.
  • Maintains and updates revenue tracking process.
  • Communicates job completion dates to Accounting and Sales.
  • Acts as liaison between own division/supervisor and other departments, divisions and external contacts.
  • Manages material and subcontractor invoicing process, including coding and routing for Superintendents, Project Managers and Production Manager.
  • Administers the inventory tracking program.
  • Works with the Safety Department and Superintendents to ensure employees have appropriate Personal Protective Equipment (PPE) available to them.
  • Manages crew uniform set up/cancellation, cleaning and replacement process.
  • Participates in the inbound customer service call rotation, enters appropriate information into company Customer Relationship Management (CRM) program.
  • Act as point of contact for Division employees.
  • May perform basic administrative and clerical functions, which may include filing, copying, binding reports, simple typing, etc.
