I. CLASS DEFINITION


An Office Supervisor oversees the work of, provides direction to and evaluates the performance of office support personnel and develops and revises the procedures of an office support work unit.

Work of this class involves supervising office support personnel.

Incumbents receive general supervision from an administrative superior. Employees in this class work a conventional workweek. Work is performed in an office where working conditions are normal. Work requires mínimal physical effort.

III. TYPICAL EXAMPLES OF THE WORK (The following examples illustrate the work performed in the positions in the class. Positions may require some or all of these examples depending on the organization of work within the agency. This list is not inclusive. A position may require related duties not listed, if necessary, to accomplish the work of the agency.)


Supervises three or more lower level employees; plans, assigns, and reviews work; trains new employees; prepares performance reports, identifying deficiencies and ensuring corrective action; counsels employees with grievances; interviews and selects new employees.

Develops or revises work unit procedures to improve work effectiveness and to accommodate changes in operations or new functions.


Maintains production records, workload statistics and similar information for the preparation of periodic reports and work schedules, for the identification of work cycles and for the distribution of workloads.

Certifies, maintains or supervises the preparation of payrolls and similar records for the unit.


Gathers data from a variety of sources to aid in the preparation of budget requests and to justify staffing levels.


Performs a variety of office support functions such as approving and disapproving requisitions or purchase orders and revising office forms and record-keeping systems.

Performs related work as required.

IV. REQUIRED KNOWLEDGES, SKILLS AND ABILITIES

Knowledge of a variety of complex office practices and procedures.

Ability to accurately maintain a variety of records.

Ability to examine existing office procedures, to identify inefficiencies and to determine the most appropriate means of modifying them.

Ability to schedule work effectively and to shift work priorities in order to meet deadlines.

Ability to perform arithmetic calculations accurately.

Ability to deal effectively with other employees, subordinates and the public.

V. MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS


Requirements - Graduation from an accredited high school or possession of a GED certificate and five years of office support experience.

Equivalencies - Equivalent combination of education and experience.
