    The position of Assistant Director of Advising exists to ensure that the teaching and learning mission of Pikes Peak State College is fulfilled.

    The position provides project management and operational leadership to the Department of Advising & Testing and support for the utilization of EAB Navigate, while working collaboratively with faculty, department/program chairs, directors, deans, and other institutional stakeholders.

    This position aids in the intentional onboarding of students, identifying plans to accomplish students career and educational goals, and increasing retention and graduation rates.

    The Assistant Director of Advising is a member of the director's advisory team that works collaboratively to provide leadership and vision in the establishment of policy and procedures to effectively deliver comprehensive services to advance retention practices, graduation rates, and overall student success across the institution.


    The college offers the possibility for alternative work arrangements such as flexplace, remote work, or flextime scheduling upon completion of training and department needs.

    The anticipated start date for this position is July 2024.

    Minimum Qualifications


    • Bachelor's degree from a regionally accredited institution.
    • Three years of experience in post-secondary, adult education, or higher education academic advising, admissions counseling, student support services, testing, or student retention.
    • Demonstrated ability to work with underrepresented student populations with efforts to close the opportunity gap.
    • Experience with higher education technology platforms and ability to work with evolving technology to meet College needs.
    Professional level experience is defined by the Colorado Division of

    Human Resources:

    A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.

    Colorado revised statute (C.R.S allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

    Preferred Qualifications


    • Master's degree from a regionally accredited institution in post-secondary/higher education student affairs, post-secondary leadership, organizational management, psychology, education, educational psychology, or a closely related field.
    • Ability to read, write, and speak fluent Spanish.
    • Experience working with EAB Navigate or a similar student support technology system.
    • Project management experience and knowledge of project management best practices.
    • Two years of direct management or supervisory experience.
    • Experience in post-secondary academic advising working with students on coursework selection and institutional onboarding.
    • Experience providing excellent customer service in a multi-cultural and diverse education setting.
    • Experience working with Banner (INB and SSB) or a similar Student Information System.
    • Understanding of the challenges community college students face while onboarding into a college community.
    • Demonstrated experience effectively communicating and building rapport with a diverse population of faculty, staff, and students.

    Essential Functions

    Technology Integration, Project Management, and Analysis


    • Serves as a straightforward and clear link to a central care network made up of number of distinct programs at PPSC that include (but are not limited to) Financial Aid, Military and Veteran Programs, the Learning Commons, COSI, Career Services, Promise Programs, TRIO, and Student Experience.
    • Works collaboratively with the Director of Advising & Testing, Advising team members, and Instructional Services team members to develop & implement academic plans, success indicators, and associated analytical tools.
    • Collaborates with stakeholders across the institution to ensure timely, up-to-date, and meaningful To-Do's in student facing Navigate.
    • Supervises, and evaluates Navigate team staff, including training, performance evaluations, and professional development.
    • Monitors systems to ensure efficiency and effectiveness by collecting and analyzing Navigate performance data and user feedback.
    • Develops work processes, and research other PPSC technological initiatives that promote student retention for possible implementation.
    • Assists the Director of Advising & Testing and College leadership with successful implementation and completion of projects.
    • Provides analytics and strategic direction regarding EAB Navigates development, progress, implementation, and utilization; including risk, issues, and resources to deliver successfully. Document procedures and reference materials as needed.
    • Uses data and data-gathering functionality (polling, surveys, etc.) to support relevant assessments including HLC outcomes-based assessment requirements.
    • Evaluates Navigate updates and opportunities provided through EAB to include resource allocation, and the added value of those opportunities to PPSC operations, including Navigate scheduling tools.
    • Works with Advising & Testing, Student Experience, Instructional Services, and other key institutional stakeholders to maintain academic plans in the EAB Navigate platform for the purpose of efficient student registration.
    • Ensures Navigate aligns with student information and management systems, such as the Academic Catalog, Banner, or DegreeWorks.
    • Analyzes and advises on opportunities to improve student experiences and retention outcomes related to Advising & Testing services.
    • Provides Navigate training to faculty and staff that supports advisee management, data analysis and reporting.
    • Develops and provides ongoing training to PPSC end-users regarding the relevant EAB Navigate student success platform components, including:
    • Onboarding new users.
    • Updating current users on new features.
    • Updating user access and performing security audits as needed (i.e., removing former employees, changing user roles and responsibilities, etc.).
    • Developing infographics to clarify features, tools, and appropriate usage.
    • Preparing and updating useful documentation and manuals for the use of Navigate.
    • Providing training for external partners as requested.
    • Serve as helpdesk to triage end-user support issues and requests.
    • Determine if issues/questions are related to an internal PPSC issue or a broader success tool issue that needs to be communicated to EAB and/or CCCS.
    Managing Advising Services


    • Directly oversees the Instructional Liaison team.
    • Ensures that the Advising Team is properly trained, utilizing available resources, making proper referrals and maintaining appropriate records with regard to student interactions.
    • Supervises, and evaluates the Advising Team, including hiring, performance evaluations, and terminations. Supports and oversees the professional development of the Advising Team.
    • Assists the Director of Advising & Testing in providing leadership for daily office procedures, office events, administrative processes, advising events, and long-term goal completion.
    • Maintains annual calendar to understand trends in service activity and demand; anticipates needed shifts in staffing and adjusts accordingly.
    • Implements continuous quality improvement systems for Advising, including departmental assessment and the development and execution of an effective assessment plan leading to the improvement of services, student satisfaction, training, and communication.
    • Provides information, technical data, and institutional reporting information on Advising outcomes and workloads.
    • Coordinates the administration and tracking of all advising services provided at each location, providing written reports, conducting statistical data analysis, and preparing and submitting reports to internal and external entities.
    • Keeps relevant webpages up to date with consistent information.
    • As needed, coordinates Advising & Testing training with other college departments.
    • Creates and updates guidelines, checklists, tutorials, handbooks, and training materials.
    • During Peak advising times, works directly with students to aid in registration or degree planning.
    • Collaborates with the Director of Advising & Testing, Executive Deans, and other relevant stakeholders to ensure the effective training and delivery of Faculty Advising.
    Student Success Support


    • Assesses, collects, and reports student data pertaining to student persistence, retention, and time to graduation.
    • Participates in unit or College assessment efforts and regular accreditation review.
    • Investigates issues that arise regarding academic advising services that might be raised by a student or staff member that impact the student experience.
    • Provides support to students referred by Advising & Testing staff due to complex needs.
    • Identifies and implements innovative strategies and assesses effectiveness in meeting the College's strategic planning goals to increase student retention and success.
    Collaboration


    • Collaborates with other CCCS institutions by actively participating with CCCS and state committees and keeping the college informed of changes in state policies.
    • Collaborates with other Advising programs regarding advising policies, procedures, technology, and practices by actively participating on related committees keeping the college informed of best and promising practices.
    • Actively engages with related professional organizations such as NACADA, NACE, NCTA, NASPA, and RMCTA to stay informed of current practices.
    • Promotes a work environment that provides the highest standard in customer service to students, faculty, and staff, in-person, online, and over the phone that is inclusive and free from discrimination and harassment.
    • Works effectively with college faculty, staff, and administrators in developing and maintaining collegial, trusting relationships for the efficient coordination of services with other college departments.
    • Implements an accountability system for the accuracy of information provided, the accuracy of documents processed, and for maintaining the highest standard of customer service.
    • Collaborates with other Navigate institutions regarding policies, procedures, technology, and practices by actively participating on related committees keeping the college informed of best and promising practices.
    General Duties, Skills, Knowledge, and Abilities


    • Ability to analyze situations and make appropriate, innovative, and responsible decisions.
    • Ability to design, implement, and monitor departmental goals and assessment activities as they relate to and support college strategic goals.
    • Ability to foster and maintain strong relationships with state agencies and other educational institutions.
    • Ability to apply student development theories, learning theories, pedagogy, and andragogy.
    • Ability to work evenings and Saturdays as needed, and travel to multiple campuses and off campus locations.
    • Ability to work independently and as a member of the Advising & Testing team, as well as with the faculty, students, and staff of the college community in a collegial and professional manner.
    • Demonstrated evidence and understanding of the concepts of diversity and multiculturalism and their application in the workplace and higher education.
    • Effective organization and customer service skills.
    • Excellent written and oral interpersonal communication skills with the ability to effectively respond to inquiries from a diverse population of students, parents, staff, and the business community.
    • Knowledge of academic advising procedures, college enrollment processes, and instructional programs.
    • Knowledge of project management principals in order to manage multiple, competing, priorities and initiatives.
    • Quantitative analysis, data literacy, and data-informed decision-making skills.
    • Strong working knowledge of EAB Navigate, Banner (INB and SSB), and Microsoft Office Suite (Word, Access, Excel, Outlook and PowerPoint).
    • Supervisory experience with the ability to hire, train, and direct a staff of full and part-time employees and student staff to work effectively in a customer service-oriented setting, across multiple locations, that experiences periods of peak demands.
