Position Overview:

The Montessori School is seeking a dedicated and detail-oriented Administrative Assistant to provide vital support to the school's administrative team, teachers, parents, and students.

Billingual is a plus.

The Administrative Assistant will play a key role in maintaining the smooth and efficient operation of the school's administrative functions and fostering a positive and nurturing environment for young children between the ages of 0 and 6.


Responsibilities:


Front Desk Management:
Greet parents, students, and visitors warmly, creating a welcoming atmosphere.
Assist parents with information regarding account statements, extra-curricular activities, or any other information related to their child.
Provide information regarding school programs and other services.
Schedule, confirm, and send notifications regarding school tours, parent appointments, and other scheduled events.
Update postings and notifications at the front desk for visibility.
Keep the front area neat and tidy, creating a welcoming atmosphere.


Administrative Support:
Maintain and organize administrative documents, records, and files.
Manage office supplies and place orders when needed.
Make photocopies for teachers and administration staff as needed.
Create a sufficient supply of tour folders for prospective parents.
File school and student documents, including monthly attendance paperwork.
Assist teachers with restroom breaks for students.
Assist teachers with any emergencies or circumstances regarding the safety and wellbeing of a child.


Student and Parent Support:
Assist with the admissions process, providing information to prospective parents and guiding them through the enrollment procedure.
Coordinate and maintain student records, ensuring confidentiality and accuracy.
Act as a point of contact for parents, addressing their queries and concerns with empathy and effectiveness.
Administer medication to students as needed, following the school's protocols.


Teacher and Staff Assistance:
Support teachers in preparing classroom materials, as well as organizing and maintaining educational resources.
Assist in scheduling parent-teacher conferences and staff meetings.
Aid in communication between teachers, staff, and parents.


School Events and Activities:

Collaborate with the administrative team to plan and execute school events, such as open houses, parent workshops, and school celebrations.

Assist in organizing field trips, special activities, and extracurricular events.


Financial and Administrative Support:
Assist with financial record-keeping, billing, and invoicing as needed.
Collaborate with the finance department to process tuition payments and manage accounts receivable.
Help maintain the school's budget records and expense reports.


Health and Safety Compliance:
Ensure compliance with health and safety regulations, maintaining records and logs as necessary.
Coordinate emergency procedures and drills in conjunction with the school's policies.


Technology and Communication:
Assist in maintaining the school's website, social media presence, and other communication channels.
Support the integration of technology into administrative tasks and communication.


Additional Duties:
Create the first draft of the school newsletter to keep parents informed about school activities.
Assist with school closing procedures, ensuring all necessary steps are taken.
Enrollments and school tours as needed, serving as the designated person.
Attend to any other requests made by the Director, Assistant Director, or Program Coordinator to support daily operations.


Qualifications:


  • High school diploma or equivalent; additional education or certifications in office administration or related fields are a plus.
  • Previous experience in an administrative role, preferably in an educational or childcare setting

REQUIRED:


  • Familiarity with Montessori education principles and philosophy is advantageous.
  • Strong organizational and multitasking abilities with excellent attention to detail.
  • Effective communication skills, both written and verbal, with a warm and approachable demeanor.
  • Proficiency in basic computer software and office tools.
  • Ability to work collaboratively as part of a team and independently when needed.
  • A genuine passion for working with young children and supporting their educational journey.

Working Conditions:
The Administrative Assistant will primarily work in an office environment within the Montessori school setting. Must be able to cover the classrooms for breaks and absesnes. The role may involve occasional attendance at school events outside of regular working hours.


Pay:
$ $16.00 per hour
