The Institute for Behavior Change is a non-profit organization that recruits, employs, trains, deploys and monitors the performance of staff who deliver mental health treatment and behavioral support to children in their homes and schools. We were founded in 1997 and provide services throughout Delaware, Montgomery, and Bucks County coordinated from our home office in Exton, PA.

The
Office Manager is a full-time, in-office position on our management team. The Office Manager reports directly to the Administrative Director. Our office is located about 1 mile from exit 312 (Downingtown) of the PA Turnpike.


Essential Duties and Responsibilities:


  • Physically present in the Exton office between 9:00 am and 5:00 pm, Monday through Friday, reliably
  • Maintaining familiarity with PA IBHS regulations and other state, federal and local laws & standards
  • Managing the onboarding, training, retention and remedial training of Behavior Consultants
  • Recording treatment authorizations and comparing them with service delivery records weekly
  • Weekly monitoring BC documentation and updating BC, BHT and MT service delivery tracking
  • Weekly monitoring of BC collection of treatment outcome data (collected weekly from parents)
  • Conferring with HR Director as necessary to implement employee disciplinary actions
  • Conferring with HR Assistant as necessary to facilitate employee training and remediation
  • Conferring with Administrative Director regarding payroll, claims processing and documentation
  • Conferring with Clinical Coordinator to facilitate IBHS authorization request packet management
  • Conferring with Clinical Writing Specialist to facilitate efficient processing of clinical documentation
  • Overseeing client eligibility for IBHS treatment via EVS checks done at least once monthly
  • Updating Standard Operating Procedure documentation as needed
  • Assist with maintaining efficient office operation, completing other responsibilities as assigned

Minimum Qualifications (Knowledge, Skills, and Abilities):

  • 5+ years of successful experience in office management, preferably in an IBHS agency
  • Proficiency in MS Word, Excel, Power Point and Adobe Acrobat is essential
  • Experience and knowledge in data management including HIPAA compliance
  • Exhibit confidentiality, flexibility, and ability to work closely with senior management team
  • Excellent attention to detail and the ability to interact in a polite, professional manner
