    Summary


    The Office of Graduate and Postdoctoral Studies (OGPS) in the University of Michigan Medical School is looking to hire an Senior Project Manager/Assistant Director of Training Grant Services.

    This management-level position leads the division that serves as the primary resource for faculty and administrators engaged in developing, preparing, and administering NIH-funded training grants.

    The Senior Project Manager/Assistant Director of Training Grant Services in OGPS reports to the Faculty Director for day-to-day operations and to the Administrative Director of OGPS for high-level management functions.

    The duties and responsibilities for this position can be categorized into four main domains. Details of these domains are listed in the responsibility section of the job description.
    Partner with the Faculty Director to assist PIs with the development and review of their training grant proposals.

    Serve as a source for best practices regarding training grant administration and provide consultation, programming, and education to mentor and guide training grant administrators.

    Provide leadership and manage the division's financial, human resources, and operations, including supervising 2 FTEs.

    OGPS provides comprehensive support services to 900+ master's, doctoral, and post-baccalaureate students and 450+ postdoctoral fellows within the medical school.

    One of the divisions within the office is Training Grants, Data, & Evaluation. The Medical School hosts over 60 institutional training grants. These grants support the training of highly accomplished doctoral students and postdoctoral fellows. However, the process of submitting and managing training grants has increased in complexity over the decade.

    Therefore, the Senior Project Manager/Assistant Director of Training Grant Services is critical in providing strategic and technical advice to training grant PIs, faculty leaders, and administrative staff to develop competitive proposals.

    Responsibilities

    40% Research Training Proposal Development
    Partner with the Faculty Director to plan and deliver these services

    Provide consultation and advice regarding:
    Developing strong programs and proposals
    Interpreting NIH instructions and responding to review critiques
    RPPR programmatic information

    Communicate regularly with Training Grant PIs to maintain strong programs
    Create a mechanism and timeline to identify upcoming submissions (i.e., new applications, resubmissions, renewals)
    Meet and consult with all potential applicants regarding the application process and available support services
    Implement application review service for training grant applications
    20% Training Grant Community Leadership
    Serve as a source for best practices regarding the training grant cycle
    Serve as liaison with Medical School and campus offices that oversee research administration & reporting for training grants
    Develop system-wide policies and procedures
    Institutional letter of support
    Responsible Conduct of Research (RCR)
    Recruitment/Retention Plan to Enhance Diversity
    Methods to Enhance Reproducibility
    Collaborate on data systems used for Training Grant preparation and RPPR
    Communicate with NIH and national organizations focused on Training Grants
    Design and facilitate workshops and training (in collaboration or consultation with the Faculty Director or other staff) in various formats:

    Bi-annual Workshops for PIs and TG Administrators (NIH updates, available support services)
    Quarterly roundtables (updates and specialized topics)
    Expert panels eg NIH T32 reviewers
    Intentional focus on new Training Grant teams regarding NIH requirements, grant application, and review processes
    New administrators, mentoring training, diversity event interface

    20% Divisional Leadership
    Provides management assistance of the division to the Faculty Director and Administrative Director
    May act as the Director in periods of absence
    Lead, direct, and manage the suite of services provided by the division
    Serve as a member of the OGPS leadership team
    Provide counsel and advice to the Faculty Director, Associate Dean, and Administrative Director on university initiatives and other university efforts as deemed necessary
    Draft correspondence on behalf of the Faculty Director, Associate Dean, and Administrative Director
    Represent the Faculty Director, Associate Dean, and Administrative Director at meetings
    Responsible for managing human resources processes for the division
    Responsible for training team members, setting strategy, and monitoring progress towards goals
    Responsible for the management of financial processes for the division
    Approve initial request for training grant shortfall funding from the Medical School
    Develop training grant shortfall financial model/budget
    Responsible for managing operations for the division
    Develop strategic plans based on the office's goals and objectives
    Conduct research and data analysis to inform decision-making
    Create and present reports regarding strategies for review by senior management
    20% Special Projects
    Responsible for the overall management, performance, and completion of ad hoc special projects related to the work of the division
    Identify administrative and operational functions that need improvements within the division and office
    Conducts special studies involving research and analysis of complex and sensitive information as well as develops recommendations and alternative solutions and implements initiatives

    Required Qualifications

    Master's degree or higher in STEM discipline
    5+ years of progressively responsible experience in research administration or proposal development
    Desired Qualifications

    Prior first-hand experience preparing training grant applications
    Experience with electronic proposal submission systems and NIH xTRACT
    Experience supervising team members
    Work Schedule

    This is a full-time position.
    The anticipated work schedule is Monday - Friday, 8:00 AM - 5:00 PM.
    This position is eligible for the University of Michigan's Flexible First Work Policy.

    The selected candidate will be able to work with their manager to establish a flexible work location and potentially some variation to the work schedule hours.

    This position requires being onsite for meetings and training when needed, with travel being the employee's responsibility.

    Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.

    Background screenings are performed in compliance with the Fair Credit Report Act.

    Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
