Description

As an executive assistant, you will perform diverse secretarial duties and administrative functions requiring confidentiality, initiative and sound decision-making for a high profile CEO and his company.

You will rely on excellent organizational skills and the ability to effectively handle multiple priorities. You will need to adapt procedures, processes and techniques to the completion of assignments.

Duties may be expanded to include coordinating meetings, coordinating travel arrangements, preparing presentation materials, ordering and maintaining supplies, submitting expenses and/or review incoming correspondence and prepare responses.

Additionally, you will exercise independent judgment, in the event that the CEO and/or President is unavailable; you may provide direction and/or guidance to less experienced company employees.

An executive assistant may from time to time act as proxy for the executives, representing him/her/them in meetings or communications.

This position of responsibility has exceptionally diverse responsibilities including extensive travel and meeting coordination, client contact and PowerPoint presentations.

Most importantly as an executive assistant, you will be handling files and records which often contain information of a confidential nature, so the ability to maintain discretion is crucial.

Requirements:


  • College degree BA, AA, AS or higher
  • At least 2 years experience Qualifications
  • Strong PC skills (proficient knowledge of MS Word, Excel, Office Pro and PowerPoint)
  • Smartphone Synchronization
  • Keyboarding skill at 65 wpm
  • To compile correspondence and reports on behalf of the CEO
  • Knowledge of general office procedures (e.g., filing, correspondence, scheduling)
  • Ability to adapt procedures, processes and techniques to the completion of assignments
  • Effective interpersonal skills
  • Superior oral and written communication skills
  • Excellent telephone etiquette
  • Advanced ability to organize
  • Tact and good judgment in confidential situations and proven experience interacting with senior management
  • At least three years of secretarial experience and meeting coordination.
  • To prepare, proof read and edit all outgoing correspondence e.g. letters, proposals, press releases, marketing materials, and newsletters
  • To manage the CEO's workload, act as gatekeeper and follow up meetings, external contacts, ideas for new business, and etc.
  • To ensure the general maintenance of reference materials for bids/proposals
  • To prepare the CEO for all internal/external meetings i.e. researching organizations/individuals, briefing on "synergy" and possible new joint working opportunities which may result from a meeting so as to maximize new business for the company.
