POSITION OVERVIEW
We are seeking a dedicated Marketing & Proposal Assistant to support our Marketing Manager and leadership team. In this pivotal role, you will coordinate our proposal processes and support marketing initiatives that enhance our brand presence.

Whether it's managing proposal submissions, preparing for high-profile events, or maintaining our client databases, you will ensure that our marketing efforts resonate as powerfully as our engineering solutions.


ESSENTIAL FUNCTIONS

Proposal Generation

  • Oversee the proposal process from initiation to completion, including coordination with staff and clients, developing project sheets, creating qualification packages, and maintaining related documentation.
  • Maintain project databases with proposal and project data.
  • Maintain proposal and marketing materials such as resumes, project photos and direct mailing lists; assist in creating templates for various documents.
  • Update Personnel database information on existing and new staff.

General Marketing, PR, Social Media Support

  • Assists in updates of marketing, corporate identity, and proposal collateral materials as needed (such as brochures, profiles, project sheets, staff resumes, business cards, forms, and trade show and career fair exhibits), ensuring the latest materials are always available when and where needed.
  • Maintain calendar and attendance of office seminars.
  • Maintain calendar of upcoming conferences and seminars where personnel can place papers or make presentations.

Events Support

  • Coordinate company and marketing events and launches.
  • Coordinate technical talks or presentations within the company.
  • Assist in coordination of inoffice events and professional events (conferences, career fairs, seminars).
  • Assist with company projects such as branded clothing catalogue, holiday party and social events.

REQUIRED AND PREFERRED QUALIFICATIONS

Education:
Bachelor's degree, preferred in Marketing, Communications, English or related field


Required Experience, Skills, and Knowledge:


  • 02 years' administrative support experience
  • Preferably with some work in marketing and/or proposal coordination, but includes experience in general administrative support with high level of detail, high volume documentation support, etc.
  • Strong Microsoft office skills, particularly in use of Microsoft Word, PPT, and Excel
  • Great communication skills (written and verbal) with the ability to interact and collaborate effectively with all types of personalities.
  • A positive attitude, enthusiasm, and a motivated selfstarter.
  • Great multitasking and time management skills, responsive to fastpaced environments, teamoriented work ethic, and the ability to selfmanage project assignments from start to finish with mínimal oversight and under tight deadlines.

Preferred
Experience, Skills, and Knowledge:


  • Experience in fields of Engineering, Construction (AEC), Architecture, or other related fields.
  • Some basic knowledge of marketing procedures, campaigns, and tools.
  • Some experience working with proposals, RFPs, etc.
  • Some graphic design, image work experience preferred.
