DESCRIPTION:


Under general supervision, the incumbent will work as the Front Desk Supervisor responsible for the supervision and direction of all day to day front desk administrative activities of the UC San Diego Health Eating Disorders Center.

The front desk supervisor serves as a resource for staff, patients, and physicians.

The incumbent will supervise the junior front desk staff's activities including but not limited to:

checking-in patients, creating and maintaining current patient information in Epic, coordinating purchases and monitoring office and clinic supplies, maintaining provider schedules and assisting Insurance team with obtaining proper documentation and collection of co-pays and processing work orders for needed repairs.

The incumbent provides training to the front desk staff. Supervise the day to day smooth operation of administrative functions including long and short range administrative needs. Provide support for planning and offer recommendations/resolution to problems. Monitor staff productivity and balance staff assignments for effective service delivery. Assess educational and training needs of staff and facilitate staff development.

Create and maintain admin staff schedule; lead weekly admin team meetings and serve as liaison and primary contact for department Epic users.

Oversee weekly deposits. Provide comprehensive customer service and manages various patient related affairs.

Procure various supplies, office furniture and other Department needs using Health Systems purchasing tools such as Aperek, Procurement Card and PO's.

Manage and oversee all Facility Engineering requests. Other duties and special projects as assigned.


MINIMUM QUALIFICATIONS:


  • Bachelor's Degree in a related area and three (3) or more years of relevant supervisory experience OR Seven (7) or more years of relevant experience/education.
  • Epic experience.
  • Thorough knowledge of clinical practice management.
  • Demonstrated organizational skills and ability to prioritize tasks.
  • Demonstrated leadership skills.

PREFERRED QUALIFICATIONS:


  • Experience working with UC San Diego Health.
  • Proficient in the following: Outlook, Word, Teams and Excel.
  • Familiar with UC Health purchasing systems.

SPECIAL CONDITIONS:


  • Must be able to work various hours as the clinic is open 6 days a week.
  • Must be able to work occasionally on Saturdays.

Annual Full Pay Range:
$67,200 - $119,600 (will be prorated if the appointment percentage is less than 100%)


Hourly Equivalent:
$ $57.28

The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position.

The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
