- Serves as executive assistant to Executive Director of Development and Alumni and Director of Alumni Relations and Donor Engagement; manages schedules, travel and calendar; extensive contact with board members, major donors and alumni
- Serves as front office backup to lead receptionist, greeting, routing calls and visitors; coordinating shared work among assistants and student worker(s)
- Trains and supervises student worker(s)
- Monitors and maintains leave request and records for office staff personnel in accordance with Internal Auditor and University policies and procedures
- Receives and receipts cash and checks brought into the office
- Composes and types general correspondence, reports, Board and committee minutes and related documents. Assist with alumni board documents.
- Responsible for official and permanent records of Foundation Board and related committees
- Supervises maintenance of files and records, including responsibility for converting and maintaining electronic records
- Maintains adequate level of office supplies, maintains office supply inventory, makes purchases as needed
- Maintains inventory records of department equipment and furnishings
- Schedules all Board and committee meetings, reserves space and meal plans, prepares necessary paperwork, communicates with Board and committee members about all details, and attends meetings to prepare minutes
- Coordinates Development and Alumni office mailings and maintains RSVP list as needed
- Prepares accounts payable check requests and entry
- Cross trains with Alumni Assistant and Accounting Assistant
- Assist with all aspects of special events, i.e. Homecoming, Welty Gala
- Performs other reasonable duties as needed
