PRIMARY FUNCTIONS:


The Volunteer & Community Relations Coordinator seeks to support programming and services through encouraging volunteerism, and expand the BGCWV brand across our community through community outreach building and strengthening our external relationships.

Responsibilities include the leadership and coordination of volunteers and community outreach activities. The position supports our membership drives and volunteer recruitment through community engagement. The Volunteer & Community Relations Coordinator grows our volunteer program and community partnerships with government, CBOs, businesses, and individuals.

This position provides leadership at times to others in the resource development/philanthropy team to support the raising of funds by way of individuals, businesses, and foundations who are ready to make a financial contribution to the Club after they contributed by way of time and talent.

The Volunteer & Community Relations Coordinator collaborates with other staff across the organization to ensure volunteer individuals, businesses, and organizations who have been vetted can provide their time and talent to advance the organization's mission, values, and objectives.


KEY ROLES:


VOLUNTEER COORDINATION:


  • Leads all Volunteer initiatives for the Club. Seeks to receive training to become Certified in Volunteer Management.
  • Collaborates with HR for the intake process of all volunteers
○ Volunteers must be interviewed to ensure we need the services they can offer and support the placement of volunteers throughout the Club sites.

○ Initiates background checks with HR dept.

○ Ensures volunteers use their volunteer shirt/vest or badge while serving at any Club site.

○ Processes group volunteering; projects and activities of businesses and community partners

  • Manages the engagement and tracking of all Volunteers for the Club.
○ Program Support - collaborates with site staff to provide expertise and support to staff with volunteer engagement.

○ Administrative Support - provides support for the administrative staff of the Club to prepare program materials, supporting aspects of marketing and PR or Fundraising, etc.

○ Service Projects - supports Club Projects to include actions like Club beautification, decorating for special events, facility improvements, etc.

○ Collaborates with key staff for Torch Club and Keystone Club for service projects throughout the community where they can go serve.

○ Create a calendar of volunteer opportunities for each department and disburse accordingly by connecting and collaborating with the Executive team, Directors and Site Coordinators on volunteer placement.

○ Tracks volunteer service hours monthly.

○ Provides monthly volunteer highlight story for e-newsletter.


COMMUNITY RELATIONS GOVERNMENT AFFAIRS AND OUTREACH COORDINATION:
Leads Community Relations activities for the Club

  • Responsible for maintaining an updated contact list of all government officials and their staff who support our footprint of operations.
  • Maintains a strong relationship with the government officials, staff and schedulers.
  • Ensures government officials visit Club Sites annually and attend major events in the community which we host (YOY, Gala, Future Ready Graduation).
  • Seeks opportunities to partner and support the initiatives of the government officials wherever possible.
  • Ensures government officials and their staff are aware of legislation in their realm of influence that may support or hinder the work we conduct at the Club and throughout the community.
  • Represents the Club with the BGC CA Alliance

Event Outreach:


  • Supports all events that are outwardfacing for the Club (i.e. Galas, Golf, Membership Drives, Youth of the Year, Future Ready Graduation, Farmer's Market, Club Blue, etc.)
  • Participates in community events across the West Valley hosted by any chamber of commerce, government, or communitybased organization (CBO) to represent the Club in partnership with CEO and CPO or other program staff.
  • Helps to organize activities that will take place at the Gary M. Thomas Clubhouse and/or offsites on the day of the event, which involves Community Champions or Community Partners.

Communication Outreach:


  • Provides information to marketing team to ensure social media and monthly enewsletter inform general readers about the Volunteer and Community Outreach/impact activities
  • Provides recognition of Volunteers to be used in social media and monthly enewsletters.
  • Collaborates with the marketing team to ensure we have collateral and materials needed to support our community outreach efforts throughout the year.

Community Partner Management and In-kind contributions

  • Works with the resource development/philanthropy team to update the needs of our sites and members for inkind contributions.
