Description
As the Administrator, you will play a crucial role in supporting the successful execution of new construction projects.

Your strong organizational skills, attention to detail, and ability to manage multiple tasks simultaneously will contribute to the overall efficiency and effectiveness of our project operations.


Responsibilities

Project Documentation and Coordination:

  • Assist in the creation, organization, and maintenance of project documentation, including contracts, change orders, and project correspondence.
  • Coordinate projectrelated meetings, including scheduling, preparing agendas, and taking minutes.
  • Assist in the preparation and distribution of projectrelated communications and reports to stakeholders.
  • Track project milestones, deliverables, and action items, ensuring they are properly documented and communicated.

Financial and Cost Management:

  • Support the project team in managing project budgets and expenses.
  • Prepare project invoices, ensuring accuracy and compliance with contractual obligations.
  • Track and monitor projectrelated costs and expenses, reporting any discrepancies or variances.
  • Collaborate with the finance department to ensure timely and accurate project billing and invoicing processes.

Project Scheduling and Coordination:

  • Develop and maintain project schedules, ensuring they are updated and communicated to relevant stakeholders.
  • Coordinate with internal teams, subcontractors, and vendors to schedule project activities and resources.
  • Monitor project progress and timelines, identifying any potential scheduling conflicts or delays.
  • Communicate project schedule updates to the project management team and stakeholders.

Procurement and Supply Chain Support:

  • Assist in the procurement of project materials, equipment, and services as required.
  • Coordinate with suppliers and vendors to obtain quotes, place orders, and track deliveries.
  • Maintain accurate records of procurement activities, including purchase orders, receipts, and invoices.
  • Support the project team in managing the supply chain, ensuring timely availability of materials and equipment.

Communication and Stakeholder Management:

  • Serve as a point of contact for projectrelated inquiries from internal and external stakeholders.
  • Respond to and redirect communications as appropriate, ensuring timely and accurate information flow.
  • Maintain strong relationships with clients, subcontractors, vendors, and other project stakeholders.
  • Collaborate with the project management team to address any projectrelated issues or concerns raised by stakeholders.

Safety and Quality Compliance:

  • Assist in promoting a safetyconscious work environment, adhering to company and industry safety standards.
  • Support the implementation and enforcement of quality control measures to ensure project deliverables meet established standards.
  • Collaborate on regular project site visits and inspections to ensure compliance with safety and quality requirements.
  • Document and report any safety incidents or nonconformities, assisting in their resolution.

Additional Responsibilities:

  • Handle additional responsibilities and projects as assigned.

Requirements:


  • Bachelor's degree in business administration, construction management, or a related field (or equivalent work experience).
  • Minimum of 3 years of experience in project administration or coordination, preferably within the construction industry.
  • Strong organizational skills and the ability to manage multiple tasks and priorities.
  • Excellent attention to detail and accuracy in document management and data entry.
  • Strong communication and interpersonal skills, with the ability to effectively interact with stakeholders at various levels.
  • Team player attitude is a must.
  • Knowledge of construction industry processes and terminology is a plus.

Pay:
$45, $55,000.00 per year
