Leave of Absence & Payroll Specialist, US


Summary:
Join our dynamic US Pay & Benefits team as a Leave of Absence & Payroll Specialist.

This role requires deep understanding of LOA administration, and the ability to serve as a backup for US payroll processing.

Responsibilities Include:


Leave Administration- Oversee more than 100 active Leave of Absence (LOA) cases for US employees, covering a wide array of situations including FMLA (both continuous and intermittent), PFL, Short-and Long-Term Disability, Workers' Compensation, and other unpaid leaves.

Ensure these cases comply with all relevant policies, procedures, and state & federal laws.- Act as the primary contact for all LOA inquiries, including FMLA, state family leaves, short
- and long-term disabilities, military leaves, workers' compensation, and paid parental leave, and direct billing processes.
  • Work closely with People Operations to identify and address employees' needs for leave or adjusted work schedules, ensuring employees understand their rights, responsibilities, and the documentation required for leave.
  • Assist People Operations Leaders in managing requests for accommodations under the ADA or similar needs, overseeing the process from start to finish.
  • Manage and maintain all necessary documentation for LOAs, ensuring accurate processing, completion, and retention in line with company policies and legal requirements.
  • Liaise with external vendors to guarantee seamless communication and service for employees and their leaders.
  • Continuously evaluate and improve LOA processes for greater efficiency and effectiveness.
  • Engage in reviews with departmental heads, management, or vendors regarding LOA, Workers' Compensation, and ADA matters as needed.
  • Administer and monitor workers' compensation claims, facilitating communication between carriers, legal advisors, case managers, and employees.
  • Stay up to date with legislative changes affecting LOAs, providing recommendations for compliance.
  • Coordinate with the Payroll department to adjust pay and benefits for employees on leave as necessary.


Payroll Activities- Act as a backup for the US Payroll Analyst.- Manage instances of overpayment during employee leaves.- Manage Intermittent leaves through the Kronos Time & Attendance system.- Work in tandem with the US Payroll Analyst to make necessary adjustments to employee pay and benefits.


Qualifications:
The following are _required _for the role- Associates degree in a relevant field

  • Experience:

1+ years in Leave of Absence administration or US Payroll, within a high-volume, fast-paced, national setting.- Skills in payroll and time/attendance systems.- Comprehensive knowledge of federal and state laws related to benefits administration, including FMLA, ADA, ERISA, HIPAA, Workers' Compensation, etc.- Competence in handling sensitive and confidential issues with discretion.- Capable of managing complex projects and multitasking efficiently.- Outstanding organizational, communicative, and time-management abilities.- Exceptional focus on detail and the skill to prioritize tasks and meet strict deadlines in an evolving environment.- Self-starter, able to work autonomously within a structured team framework.- Advanced proficiency in Microsoft Excel.


The following are _preferred f_or this role- Strong project management experience.- Experience with a union workforce.- Solid grasp of Microsoft Office/Excel, and familiarity with Kronos (time reporting), Workday (HRIS/payroll), and Alight (benefits eligibility & enrollment) systems.- Knowledgeable in workers' compensation reserving practices.

May require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand, walk, lift, carry, and move light to medium weight.

Requires good hand-eye coordination, and arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate equipment, and learn technical information.
