In this role you will work closely with the Principal and Founder.We require that this highly organized, self-starting employee will anticipate and deftly maneuver through the day-to-day challenges that come with managing the schedule of an executive who has multiple projects happening simultaneously.
ABOUT YOU:
RESPONSIBILITIES:
- Anticipate the needs of the CEO, proactively and independently provide support, ranging from meeting preparation to arranging car reservations.
- Attend meetings and take minutes, provide notes to internal managers.
- Schedule all appointments, commitments, and reservations for the CEO, determining priority of requests and handling accordingly.
- Prepare and submit expense reports, maintaining meticulous records of financial transactions from the CEO to submit to the Financial Director.
- Create and maintain presentations and agenda; track and followup on action items, manage project timelines, deadlines, and requests.
- Arrange travel bookings and accommodations, including comprehensive itineraries.
- Manage reservations, giftsending, and other logistics for the CEO, including business and personal endeavors.
- Independently initiate and implement processes to manage projects, information, and people, ensuring the entire team effort runs smoothly and efficiently.
REQUIREMENTS:
Bachelor's degree in Public Relations; Media Communications preferred.
- At least 46+ years of experience in an Executive Assistant, Project Management, or operational role (preferably in the Film, TV, Media, or Entertainment landscape).
- Strong interest in new media (especially immersive), technology, innovation, and content preferred.
- Experience managing support staff and interns preferred.
- Excellent judgement, attention to detail, strong multitasking skills, and an innate drive to get things done.
- Highly collaborative working style; can juggle competing priorities among a high performing team.
- Exceptional written and verbal communication skills.
- Ability to work autonomously and take ownership of projects.
- Ability to anticipate needs and stay 3 steps ahead.
- Ability to adapt quickly, build relationships, and engage people.
- Ability to maintain the highest level of confidentiality with sensitive information.
SCHEDULE:
This position is onsite four days a week at our NYC offices and will require attention after hours and on weekends.
Pay:
$75, $90,000.00 per year
