Primary purpose of this position:
Assist taxpayers over the phone and/or in person, return all messages from nighttime messages, payoffs, process all mail, sending payment agreements, scanning and coding received payment agreements; reviewing payment agreements and preparing default letters, processing checks, drop off/pick up correspondence to and from county offices, order and maintain office supplies.
Essential Functions:
- Answer tax payer phone calls and assist with questions concerning their property, lawsuit, or notices they have received from us. Also, return messages left in our Richmond Night system.
- Assist tax payers who come into the office.
- Process and batch received checks, saving copies and making notes where needed. Forwarding the checks to proper recipient.
- E-File SOS letters and certificates as well as Constable Returns. Change the coding in Oracle as needed reflecting answers in these documents.
- Review all payment agreements. Call to see if the tax payer can catch up, or if we need to default and set up a new payment agreement.
- Send out new payment agreements. Code ACT and Oracle once signed agreements are received. Scan the signed agreements and upload into Oracle and ACT.
- Prepare Default Letters and save in correct format so that the Houston Mail Room can send out the mailings.
- Drive to tax office to drop off checks and drive to post office to drop off any outgoing mail and/or pick up certified mail needing signature.
- All other duties assigned.
Physical Demands & Work Environment:
- Driving: Short periods of driving.
- While performing the duties of this job, the employee is frequently required to sit and talk or hear.
- The employee is occasionally required to walk; use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms.
- The employee must occasionally lift and/or move up to 15 pounds. Specific vision ability to adjust focus.
Non-Essential Functions:
- Strong overall Microsoft Office skills.
- Strong Excel spreadsheet skills.
- Title, Tax, Appraisal, Efiling and/or Oracle experience
Knowledge, skills and abilities necessary for this position to succeed:
- Time Management
- Strong grammar skills, both verbal and writing
- Ability to communicate well on a professional level with various people including public including public employees as well as attorneys and upper management
- Driver's License and vehicle
Supervisory responsibilities and independent discretion:
- Report to Chip Sutton/Karina Andrade for assigned jurisdictions/accounts.
- Review with Michelle Cox and Tonia Murphree any situations I encounter related to their courts.
Special Requirements:
- Bilingual in Spanish REQUIRED.
Pay:
$16.00 per hour
Expected hours: 40 per week
