This position is for an international
manufacturer of specialty materials.

We are looking for
Administrative Assistant

Responsibilities:


HR Related Administrative Duties - 25%

  • Facilitate management of a time clock system for
    payroll:
  • Create new employee personnel files and ensure new hire paperwork completion
  • Track the site recognition program and ensure recognition cards are ordered
  • Learning Management System Training representative
  • Provide Training report updates

HSE Related Administrative Duties-50%

  • Support the Electronic Document Management system coordinator's efforts to improve the system by providing feedback on the functionality
  • Assist in
    data entry for sites such as
    Health and Safety data and tracking systems
  • Assist with the development of Job
    Safety analysis creation/review
  • Enter data for Safety observations, Safety Data Sheets (
    SDS), Near misses, etc
  • Order logistics/production supplies in
    SAP and Office supplies from determined vendors
  • Process logistics/utility invoices (FedEx, labels, etc.)
  • Facilitate uniform and
    safety protective gear orders for current and new hires including uniforms, safety glasses, shoe vouchers, and eyeglasses

Site Level Administration Duties-25%

  • Control site gate entry access for visitors, contractors, drivers
  • Support electronic document management systems (EDMS) by scanning equipment
    files/inspection documents into the system.
  • Update bulletin boards and employee information monitors throughout the site
  • Coordinate the hosting of site events, meals, celebrations, etc.
  • Coordinate employee engagement events for Wellness and assist in the coordination of Family Day
  • Update bulletin boards and employee information monitors throughout the site
  • Assist with the coordination of community outreach events
  • Coordinate cleaning activity of site administration areas.

Other duties as assigned-5%

Context and Environment:


  • The position will be located onsite.
  • Comply with the rules of the specific location as well as the rules set by the business unit (BU)
  • Comply with all standard procedures and work instructions, to ensure productivity, quality assurance, and costeffectiveness.
  • Identify and communicate potential gains or possible improvements to the management system.
  • Supports the site
    HES policy and complies with all regulatory and internal requirements
  • Participates in
    HES activities provided by site management (e.g., Behavioral Base Safety, SafeStart, etc.)
  • Supports and promotes the reporting of all health, safety, environmental, nearmiss, accident, or injury incidents

Education / Qualifications / Work experiences:

  • High School diploma or GED
  • Strong communication skills (written and verbal). Ability to work with limited supervision.
  • Ability to work with others internally and externally with professionalism.
  • Excellent organizational skills.

Demonstrated Competencies:


  • Solid communication and organization skills are required.
  • Must have the ability to work independently and focus on detail.
  • Must be able to maintain confidentiality.
  • Must have the ability to prioritize and organize daily work schedules.
