Position title:
Church Administrative Assistant
Status:
Full Time
General responsibilities:
To serve the church by providing administrative services to the Pastor and staff.
Essential Duties and Responsibilities:
- Welcomes all people as they enter the building and direct them when appropriate.
- Support Pastor and staff with clerical tasks.
- Receives and screens incoming calls, takes messages, and returns calls if asked by Pastor.
- Sorts all incoming mail.
- Coordinates with trustees when necessary.
Updates the official acts:
birth, baptism, confirmation, marriage, death records.
- Responsible for church's Planning Center entry and data base (People, Groups, Registrations).
- Maintains master calendar of events for the church (Planning Center Calendar).
- Coordinate Planning Center Services with music director, communications director and Senior Pastor.
- Print and send weekly Sunday readings to readers.
- Transfer Planning Center Services Info to prepare service slides in ProPresenter.
- Maintains suggested donations lists for building usage (located in the office), services of pastor, organist, and video team.
- Responsible for ordering flowers for Christmas (poinsettias) and Easter (lilies).
- Order office supplies, communion and baptism supplies as needed.
- Handles all outgoing mailings for church.
- Coordinates with staff to prepare spreadsheet of credit card receipts.
- Reviews paper invoices and scans to upload to JotForm. Coordinate with staff to check authenticity.
- Works with the appropriate committee officers and leaders to carry out the ministry of the church.
Ancillary Duties:
- Performs tasks, which are supportive in nature to the essential functions of the job, but which may be altered or redesigned depending upon individual circumstances.
- Attends staff meetings on a weekly basis.
Organizational Framework:
Reports directly to Senior Pastor.
Nature of Working Relationships:
Direct contact with the Senior Pastor, Director of Christian Education/Outreach, Director of Music Ministry, Director of Communications, Director of Kids Church, Congregation
Special Knowledge, Skills, and Abilities:
- Good communication, interpersonal, and time management skills required.
- Organizational skills
- Proficient in MS Office Suite (MS Windows, Word, Excel, PowerPoint, Outlook) and Google Office Suite
- Familiarity with Church Management Systems (Planning Center)
- Diplomacy, tact, and the ability to maintain confidentiality.
- Gospel-centered
- Like working in a team setting

$ $23.75 per hour
