Accounting Assistant
We are looking for an Accounting Assistant to perform daily accounting tasks that will support our financial team. Accounting Assistant responsibilities include managing expense reports and reimbursements, entering financial transactions into our internal databases and reconciling invoices. You will help our accounting department run smoothly, ensuring transparency and efficiency in all transactions.
Schedule:
Monday-Friday (8:30am-4:30pm)
Responsibilities
- Reconcile invoices and identify discrepancies
- Create and update expense reports
- Process reimbursement forms
- Prepare bank deposits
- Enter financial transactions into internal databases
- Check spreadsheets for accuracy
- Maintain digital and physical financial records
- Issue invoices to customers and external partners, as needed
- Review and file payroll documents
- Participate in quarterly and annual audits
- Enter and maintain employee information into the system for Payroll purposes
- Assist the Accounting Manager in the coordination of daytoday operations of the Finance Office and answering questions regarding the budgets
- Assist with maintenance of the filing systems, photo copying or duplicating of materials as requested, trains others how to use office/clerical equipment.
- Responsible for accurately maintaining expense records
- Draft correspondence for standard pastdue accounts and collections, identifies delinquent accountholders to request payment
- Create reports regarding the status of clients' accounts as requested.
- Research clients' discrepancies and pastdue amounts with the assistance of the Accounting Manager and staff
- Assisting in generating monthly billing statement statements based on account ledgers
- Assists Accounting Manager in reconciling revenue accounts each month
- Copies, files and retrieve materials for accounts receivable as needed
- Assist in biweekly payroll processing and prepare payroll reports
- Resolve payroll discrepancies and employee inquiries
- Track and manage paid sick leave requests for all employees
- Process terminations and prepare final payments
- Performs other duties as assigned
Qualifications
- QuickBooks and ADP knowledgeable is necessary
- Ability to use word processing and spreadsheet software, i.e., Word, Excel
- Work experience as an Accounting Assistant or Accounting Clerk
- Knowledge of basic bookkeeping procedures
- Familiarity with finance regulations
- Good math skills and the ability to spot numerical errors
- Organization skills
- Ability to manage sensitive, confidential information
Pay:
$ $30.00 per hour

Microsoft Word: 1 year (preferred)
