Job Description Summary


The University of Pennsylvania Press, publisher of scholarly and semipopular books and journals, seeks a Business Administrator to manage and process financial transactions for the Press, supply accurate financial data, help maintain royalty system, and provide the Business Manager with financial information.

Reconcile the Press's financial information to the university's Business Enterprise Network (BEN) system and supply supporting backup information, record financial activity in shadow accounting package, other tasks as assigned.

Reports to the Business Manager.


Job Description:

Job Responsibilities

  • Process and record all payments, deposits, Business Enterprise Network (BEN) journal entries, P.O.'s, and PCARD transactions.
  • Reconcile Press' accounting system to BEN system and report to Business Manager and Comptroller's Office monthly.
  • Process all Evaluations and Questionnaires for new Independent Contractors.
  • Process and reconcile permission income in the BEN and Metacomet Royalty Tracker systems.
  • Calculate and record new and reprint inventory unit costs.
  • Update information in the royalty system and process royalty payments through Penn Marketplace.
  • Approve weekly payroll, workstudy hires, and enter additional pay in Workday. Reconcile all payroll each month.
  • Perform additional duties as assigned

Qualifications:


  • Associate of Science and 2 to 3 years of experience or equivalent combination of education and experience is required.

of years' experience working in a business office, with a preference for having experience in publishing, college/university, or not-for-profit settings.


  • Demonstrated ability to work collaboratively with leadership, staff, and outside stakeholders and partners.
  • Familiarity with business systems such as MetaComet Systems Royalty Tracker, BiblioLive, Business Enterprise Network (BEN) Financials, Penn Marketplace, Sage 50 Peachtree Accounting, and Office 365 a plus
