Billing Specialist


Classification:
Full Time, Non-exempt (40 hours/week)


Primary Reporting Relationship:
Finance Director


Ministry Areas:
Finance Department, as part of the Church and School Operations Team


Interfaces:
Staff members, school parents, volunteers, and other stakeholders as identified and appropriate


Schedule:
Weekdays (M-F) from either 7:45 AM to 3:45 PM, or 7:45 AM to 4:45 PM with a one-hour lunch break, including summer months

Job Purpose:

To support the Finance Director in managing family billing accounts for Bay Area Christian School (BACS) and The Early Learning Academy at BACS (ELA).

The Billing Specialist uses the school's tuition management software to ensure that account statements are accurate, up-to-date, and handled in a timely and consistent manner.

Major Responsibilities:


  • Manages tuition and fee billing through the tuition management system
  • Manages charges and remittances in both tuition management software and accounting software
  • Manages family tuition payment plans
  • Responsible for calculating the tuition amount for students based on the tuition chart and entering those charges in the tuition management software
  • Responsible for the deposit of all cash or check payments
  • Responsible for the withdrawal process, including calculating the amount due to the families and collecting the amount due to the school
  • Contacts families regarding any past due balances, issues with nonsufficient funds, or invalid credit card information and provides a monthly delinquent list to the BACS School Board
  • Responsible for lunchroom charges, credits for any missed days, and refunds
  • Responsible for afterschool activity charges and requesting payments from the teachers
  • Responsible for reconciling accounts receivable in accounting software to tuition management software on a monthly and annual schedule
  • Ensures all financial data is organized, filed, and kept strictly confidential
  • Performs other duties as assigned by the Finance Director

Required Skills and Qualifications:


  • Managing sensitive and confidential information with the highest level of professionalism, tact, and discretion
  • Excellent customer service skills, including patience, confidence, and empathy in both verbal and written interactions
  • Solid foundational knowledge of basic math, bookkeeping, and accounting skills and best practices
  • Strong problemsolving and criticalthinking skills
  • High level of computer proficiency and familiarity with office equipment, including multiline phones, printers, copiers, scanners, and fax machines
  • Strong working knowledge of Microsoft Excel and Microsoft Word is required; Familiarity with Google Workspace, including Gmail, Sheets, and Docs is preferred
  • Previous experience working with FACTS/RenWeb tuition management software is a plus
  • Previous experience working with Sage Intacct or similar cloudbased accounting software is a plus

Education and Experience:


  • Minimum 24 years of previous experience in an accounting or billing position required
  • Minimum associate degree in accounting required; Bachelor's degree in accounting preferred 57 years of previous accounting and/or billing experience may be considered in lieu of an accounting degree
