Position Title:  Human Resources Operations Coordinator

Department:  Student Financial Services – Human Resources

Position Summary:  The HR Operations Coordinator supports the day-to-day administrative operations of the Human Resources department by managing routine processes, responding to employee inquiries and coordinating student employment payroll activities. This position focuses on operational execution and service support, allowing the Director of Human Resources & Payroll to concentrate on compliance, strategy, and institutional initiatives.

This role is ideal for a highly organized individual who enjoys structured processes, problem solving and helping employees navigate routine HR procedures.

Responsibilities:

  • Serve as the first point of contact for HR walk-ins, phone calls and general email inquiries
  • Respond to routine employee questions and route complex or sensitive matters to the Director of HR & Payroll
  • Assist employees with HRIS navigation (pay stubs, tax forms, benefit elections, acknowledgements)
  • Maintain personnel files and electronic employee records
  • Prepare HR forms, documents and standard correspondence
  • Monitor completion of onboarding tasks and required employee paperwork
  • Support new hire onboarding logistics and orientation preparation
  • Track compliance items such as acknowledgements, training confirmations and required documentation
  • Assist with annual open enrollment communications and employee follow-up
  • Administer student employment payroll processes, maintain student worker records and troubleshoot student payroll questions
  • Enter student earnings and stipends into payroll transaction and monitor missing hours
  • Communicate payroll deadlines and follow up with supervisors regarding submissions
  • Prepare payroll batches for Director review
  • Assist with payroll data entry, reports, audits and reconciliations
  • Maintain HR calendars, reminders and recurring operational processes
  • Coordinate meetings, training logistics and departmental communications
  • Assist with HR projects and maintain internal procedures and process documentation
  • Organize and support general HR administrative operations to ensure smooth daily workflow
  • Other duties as needed
  • Qualifications:

  • Exceptional customer service skills with a professional demeanor.
  • Meticulous attention to detail, organized, with the ability to multi-task.
  • High level of emotional intelligence to handle confidential situations and documentation.
  • Experience with Human Resources Information Systems (HRIS), such as Paycom preferred.
  • Proficiency with computer software and high comfort level working with Windows software applications.
  • Previous experience with human resources and payroll preferred.
  • Associate's or Bachelor's degree OR equivalent administrative experience
  • Working Relationships:  The Human Resources and Payroll Coordinator is a member of the Human Resources Office and reports to Director of Human Resources and Payroll.

    Work Schedule:  Normal office hours expected Monday through Friday.  Additional hours as needed for significant department or university events.
