ROLE SUMMARY

  • The CDPH is investing in its longterm technological capabilities to better achieve its mission of a healthier Chicago. This position is for the Department's Bureau of Informatics and Information Technology (BIIT) Unit which administers technology solutions for over 500 employees, and as such, is looking for someone with proven experience as an Administrative Director. In this capacity, this position manages and directs the administrative, operational, and financial aspects of the bureau. The
    Director of Administration II will work with the Assistant Commissioner to streamline business processes and improve overall efficiencies in department operations.


This position will help define and provide support services for the budgeting, staffing, procurement, contracts, and financial management of the Bureau's operations.

Working closely with BIIT team members, this position will help align annual budgets and priorities to the long-term goals and mission for the entire CDPH.

This position will work with various internal and external stakeholders including other City of Chicago departments as well as external vendors and service providers.

Attention to detail with the ability to push tasks through completion is essential for this position. The ability to work in a complex financial environment supporting a variety of CDPH projects and programs is required.


ESSENTIAL DUTIES

  • Coordination with financial and grants management teams to ensure accurate financial metrics and budgets are followed.
  • Working with BIIT team members to determine annual budgeting needs.
  • Coordinate with grants management team to ensure expenditures are compliant with program restrictions.
  • Full lifecycle support of the procurement process, from initiation request, contract agreement, purchase orders, delivery confirmation, and payment processing.
  • Maintenance of SharePoint document library of projects, contracts, purchase orders and agreements.
  • Creation and execution of BIIT business processes and procedures.
  • Create and maintain dashboards and other executive level reporting including the use of Microsoft Excel and PowerPoint.
  • Organize and take meeting minutes, including attendance, decisions made, followup action items & owners, and due dates.
  • Managing and following up on tasks across the various stakeholder groups to ensure completion by specified due dates.
  • Establishes and coordinates training and orientation programs for CDPH employees.
  • Documents processes and procedures to be used by others throughout the CDPH.
  • Additional preferences include:_
  • Experience in a software or technology delivery organization.
  • Experience in a healthcare or medical setting.
  • Experience with data analysis and reporting, including tools such as Tableau or Power BI.
  • Experience with project management or task management tools such as MS Project, Jira, Azure Boards, or Smartsheets.
  • Excellent communication and interpersonal skills.
  • Additional duties may be required for this position._

Qualifications

MINIMUM QUALIFICATIONS

Education, Experience & Training
***Graduation from an accredited college or university with a Bachelor's degree in Business or Public Administration or directly related field, plus four years of budgetary, human resource or office administration experience of which two years are in a supervisory role related to the responsibilities of the position, or an equivalent combination of education, training and experience.
