Job Summary:


The Operations and Administrative Specialist is a proactive and detail-oriented person and will play a vital role in organizing office activities, planning community events, coordinating volunteers, and supporting various operational endeavors for Blue Zones Project Petaluma.

This person is an integral part in ensuring that the office operations run smoothly and are successful in supporting other business activities.


Essential Job Functions:


  • Office Coordination: Streamline office workflows, ensuring maximum efficiency and adherence to established procedures; maintain files and records within digital collaboration systems; perform a variety of daytoday office and clerical tasks, supporting the Executive Director
  • Event Planning and Coordination: Take charge of planning and executing community events, fostering community engagement, managing logistics, and adhering to event budgets
  • Volunteer Coordination and Training: Oversee volunteer programs, ensuring proper training and engagement strategies to enhance community involvement
  • Operational Support: Collaborate with internal teams to support or manage various operational efforts, demonstrating flexibility and adaptability.

Specific Skills/Attributes:


  • Ability to work both independently and collaboratively.
  • Ability to work in a fastpaced environment, but remain appropriately detailoriented.
  • Strong relationship building skills; capable of working with internal and external teams and partners.
  • Good organizational skills; ability to prioritize and manage time to meet deadlines.
  • Experience working in multidisciplinary, multicultural, and multisectoral partnerships.
  • Proficient in Google Workspace, Microsoft Office, Smartsheets. Experience in the use of CRM software is a plus.
  • Creativity, inspiration, and collaboration to contribute to a positive team culture.
  • Strong initiative and mature judgment.
  • Energized by the Blue Zones Project mission.

Qualifications:


  • 3+ years of experience in business, hospitality, community outreach, public relations, event planning, project management, marketing or related areas preferred
  • Bachelor's degree in business related field preferred: experience in lieu of education also considered.
  • Bilingual English/Spanish with multicultural awareness preferred
  • Resident of Petaluma and/or deep local knowledge & engagement within Petaluma preferred.
  • Position is onsite and will require a COVID19 vaccination or qualifying exemption.

Pay:
$75, $80,000.00 per year
