Essential Functions:
  • Under general direction, serves as a staff assistant in the Chicago Litigation Office.
  • Serves as liaison with Office staff, Chicago and Springfield Offices and the Attorney General's Office relative to cases, interpretation of the Deputy General Counsel's administrative policies and procedures, exchange of information, legal and other issues of a confidential and sensitive nature which pertains to policies, procedures, legislation, proper submission of documents, etc.
  • Develops, implements and coordinates procedures for file tracking on an individual and office level, including storage and retrieval.
  • Maintains timekeeping records for Chicago Litigation Office.
  • Composes a variety of technical and legal correspondence, often of a sensitive and confidential nature, relative to operations, performance review, policies and procedures for signature of the Deputy General Counsels of the Chicago Litigation Office.
  • Develops, maintains and coordinates procedures for input, tracking, compilation and retrieval of Office correspondence and responses thereto in relation to Office activities.
  • Performs special project assignments as requested by supervisor, e.g., assists in conducting operational studies and recommends changes to improve efficiency of operations, etc.
  • Performs other duties as required or assigned, which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications:


  • Requires knowledge, skill and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.
  • Requires one year of professional experience in a public or private organization, or completion of an agency approved professional management training program.

Preferred Qualifications:


  • Four (4) years of experience using Microsoft Word, Excel, and Outlook and Adobe Acrobat or similar software.
  • Intermediate proficiency using Gentax or similar tax processing software.
  • One (1) year of professional experience tracking assignments to ensure adequacy and timeliness.
  • One (1) year of professional experience preparing technical and legal memoranda and correspondence.
  • One (1) year of professional experience functioning as a confidential assistant.
  • Two (2) years of experience working with records management and compliance.
  • One (1) year of professional experience in a legal or judicial office.

Conditions of Employment:


  • Requires the ability to successfully complete a tax compliance and fingerprintbased background check.
  • Requires the ability to use and secure a state issued mobile device, e.g., cellular phone, laptop computer, tablet, etc.
