Description

The Executive Administrative Assistant to the Vice President and Academic Dean of MTS provides administrative support through coordination of communication to seminary faculty and service providers of MTS and MBI, offers administrative support of faculty meetings, workshops, and committees.

Assists with coordination and development of strategic projects, and general administrative support to the Vice President and Academic Dean.


Essential Functions

  • Professionally communicate events, agendas, reports, and other information on behalf of the Dean's office to seminary faculty or Service Providers.
  • Create agenda, publish minutes, and reserve meeting locations for Faculty Meetings, Committee Meetings, and Workshops and archive faculty meeting and workshop minutes in print and electronic form.
  • Provide telephone coverage, schedule management, travel arrangements, and process expense reports for the Vice President and Dean
  • Facilitate hiring process and assist in onboarding adjuncts and FT Faculty and staff.
  • Assist the Dean of Faculty in determining FT and adjunct faculty course loads and attend and assist in regular Phase meetings.
  • Coordinate Institute business travel and accommodations for MTS Faculty and Staff.
  • Oversee office space usage and maintenance
  • Coordinate the ordering of office supplies for MTS staff and faculty.
  • Develop MTS Student Handbook in conjunction with Student Development
  • Assist with the development of the Seminary annual report and sections of the Education Group annual report which pertain to the Seminary
  • Coordinate data for accrediting bodies (ATS, HLC, ABHE, ESDC) in the excel document
  • Oversee and maintain accurate information as Web Content Manager for the MTS website
  • Facilitate communication with Michigan campus of Moody Theological Seminary
  • Other duties as assigned by the VP and Dean

Minimum Requirements

  • BA in Communication, HR, Organizational Leadership or related field.
  • Over five years of experience in an administrative or operational role.
  • Skilled in Interpersonal Communication
  • Experience with Microsoft Office
  • Commitment to confidentiality
  • Able to work in the US legally without sponsorship.

  • Master's Degree
  • Church and/or ministry experience.
  • Demonstrates administrative and organizational giftedness.

  • Effectively utilizes available technology and systems in performing job responsibilities.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear.

The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

This is a full-time position primarily operates out of our Chicago campus. This role is regularly scheduled 38.75 hours a week between Monday and Friday.

No travel is expected for this position.
