Overview:
The Department of Otolaryngology - Head and Neck Surgery operates multiple medical offices throughout Hampton Roads. These offices are located on or near Sentara Norfolk General Hospital, Sentara Princess Anne, and Sentara Leigh Hospital.

This role is being established to provide supervision to the Medical Reception staff across the multiple office locations.

The Department is looking for a hands-on supervisor to take responsibility for orientation, training, and instilling a culture of customer service first mentality across the office reception staff.

The role will work collaboratively with all faculty members and be responsible to the Department Administrator.


Responsibilities:


  • The role will function as the super user for the Departments practice management system and specifically the scheduling functions within that system. Currently the Department uses IDX and it is anticipated that a transition to Epic for scheduling purposes will take place within the next 12 to 18 months.
  • The role will become knowledgeable on all scheduling parameters and expectations for Department faculty and providers. Through orientation of new reception staff, ongoing training, and corrective action when needed, the role will ensure compliance with scheduling expectations for the Department.
  • The role will supervise the timely scheduling of new patient consults with the Department and update monthly the Department faculty on next available appointment dates and times.
  • The role will manage all provider templates within the Department and open/close schedules as requested and as needed.
  • The role will participate with the Department Administrator through the hiring process for vacant Medical Reception staff positions.
  • Working collaboratively with the Department Administrator, the role will actively monitor quality metrics reflective of the registration process and take corrective action when needed.
  • The role will act as a point of contact for all faculty members pertaining to registration and scheduling errors.
  • The role will actively represent the Department at all Medical Group meetings reflective of patient registration and scheduling.
  • The role will actively participate in all Department management meetings and assist with trouble shooting any issues that may arise.
  • The role will complete a schedule and work assignments for all Medical Reception staff to ensure appropriate coverage of all practice locations.
  • Other duties as assigned.
