    Description

    Key Purpose:

    • Provide Executive Assistant support to the CEO.
    • Provide Administrative Support to the Executive Leadership Team.
    • Support daily administrative tasks related to office management.


    We are seeking a skilled Executive Assistant with Office Management experience to join our team and support our executive leadership.

    The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple responsibilities efficiently.

    This role will involve providing comprehensive administrative support to our executives while overseeing the smooth functioning of our office operations.


    Description of Responsibilities and Objectives:

    Provide Executive Assistant Support to the CEO:

    • Monitor CEO's email daily, ensuring 24-hour response time.
    • Screen and prioritize emails, calls, and other communications for the CEO.
    • Actively manage the CEO's calendars: schedule meetings, conferences, teleconferences, industry presentations, and speaking engagements.
    • Manage EOS digital resources ensuring consistency and real-time updates are happening.
    • Organize and book all of the CEO's travel arrangements.
    • Prepare and organize materials for meetings, ensuring the CEO is well-prepared.
    • Prepare agendas and keep accurate meeting minutes. Track action items from meetings and follow-up with status and deadlines.
    • Complete monthly credit card report.
    • Maintain the CEO's annual budget and report to finance.
    • Work with the CEO on various visionary initiatives and projects.
    • Capture minutes of various meetings attended by the CEO tracking action steps and follow-up needed.
    • Assist the CEO with the schedule and balancing with all major external partners.

    Provide Administrative Support to the Executive Leadership Team:

    • Schedule, coordinate, and support various Executive Leadership meetings, off-sites, travel, etc.
    • Support alignment between the CEO, President, and Executive Leadership team.
    • Serve as our admin for EOS (Entrepreneur Operating System) capturing meeting notes weekly, updating key documents, and communicating status updates.
    • Assist in the preparation of reports, correspondence, and other business documents.
    • Collaborate with the Executive Team to understand presentation requirements and objectives.
    • Create visually appealing and compelling presentations that align with brand guidelines.
    • Edit and enhance existing presentations to ensure consistency and clarity.
    • Coordinate with relevant departments to gather data and information for presentations.
    • Support daily administrative tasks related to office management.
    • Oversee daily office operations, including managing office supplies, equipment, and facilities at the FDC location.
    • Receive mail and distribute to appropriate parties.
    • Manages the office budget and ensures proper allocation of supplies.
    • Coordinate with vendors, suppliers, and service providers to ensure office needs are met.
    • Identify opportunities for process improvements and implement efficient office workflows.
    • Maintain organized and up-to-date files, records, and documents.

    Required Skills/Abilities:

    • College degree in business or 5+ years of Executive Assistant experience.
    • Must be computer literate, working knowledge of Google, Google Calendars, Google Sheets, Docs, and Slides.
    • An effective communicator that works well with others at all levels within the organization.
    • Self-motivated, positive attitude, good organizational skills and detail-oriented with the ability to prioritize and meet deadlines promptly.
