The Library Contracts Coordinator is responsible for coordinating agreements and contracts for electronic library resources in compliance with campus procedures and New York State policies.

The incumbent negotiates, edits, and manages new and updated contracts and amendments in conjunction with the Libraries team responsible for purchasing electronic resources and the campus Purchasing Office.

This requires the ability to manage ongoing conversations and to use jurisdiction in decision making. This position is also responsible for creating, uploading, and maintaining license records in the ExLibris Alma library software system.

Attention to detail, ability to work in a team and within the framework of a public institution, and strong communication skills are essential.

The position reports to the Director of Library Technical Services.


Responsibilities:


  • Following campus and state policies and procedures, review and negotiate license agreements with publishers and vendors to ensure preferred terms are incorporated. Review product availability on State Contract, via SUNY OLIS (Office of Library Services), or other library consortia; review vendor status with New York State.
  • Facilitate authorization of new and updated licenses and amendments in consultation and coordination with University Purchasing Office and University Counsel. Manage processes that involve New York State Offices of the State Comptroller and the Attorney General.
  • Facilitate the listing of new product proposals on NYS Contract Reporter.
  • Maintain documentation of licenses in the library management system, Alma.
  • Support Library staff and faculty with licensing issues and questions.
  • Assist with purchasing and procurement processes as needed.
  • Participate in a work culture that promotes diversity and antiracism and actively works to eliminate or mitigate the effects of systemic racism and bias.
  • Participate in Library and University committees.

Job Requirements:

  • Bachelor's degree.
  • Experience with contracts and/or purchasing.
  • Ability to learn New York State Purchasing rules and regulations.
  • Excellent written verbal and communication skills.
  • Ability to function collaboratively and independently in a serviceoriented team environment.
  • Flexibility in adapting to change.

Preferred:

  • Knowledge of library related purchasing routines and electronic products.
  • Experience in a SUNY or higher education financial environment.
  • Background in business, accounting or related field.
