Job Overview:
We are seeking a detail-oriented and organized individual to join our team as an Administrative Assistant/ Accounts Payable Clerk.

As an Administrative Assistant/ Accounts Payable Clerk, you will be responsible for managing and completing various office administrative tasks and financial transactions of our organization, ensuring accuracy and timeliness in processing payments and maintaining records.

Job Description & Duties

  • Your responsibilities will include but not be limited to:
  • Manage the front desk and serve as the first point of contact for visitors and callers
  • Provide excellent customer service and phone etiquette to ensure a positive experience for all callers.
  • Maintain and organize general office files, documents, and records.
  • Perform office procedures
  • Copy, scan, and file a variety of documents
  • Understand and maintain all office equipment
  • Maintain office inventory and supplies
  • Assist with equipment inventory and maintenance worksheets
  • Support team members with administrative tasks as needed
  • Perform other office assistant duties, as requested
  • Track and complete miscellaneous overhead tasks; as assigned.
  • Provide personalized administrative support to ensure the efficient operation of the main office.
  • Process accounts payable invoices and ensure accurate coding and approval
  • Verify vendor statements and reconcile discrepancies
  • Prepare and process payments to vendors, including checks.
  • Maintain accurate records of all accounts payable transactions
  • Assist with monthend closing activities, including reconciliations and accrual
  • Respond to vendor inquiries and resolve any payment issues or discrepancies
  • Collaborate with other departments to ensure proper documentation and adherence to financial policies and procedures

Skills:


  • Proven experience as an administrative assistant/ accounts payable clerk (23 years minimum experience preferred)
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment
  • Proficiency in MS Office Systems (MS Word, Excel, Outlook, and MS PowerPoint)
  • Excellent time management skills and the ability to prioritize work effectively
  • Attention to detail and problemsolving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask
  • Ability to work independently and collaboratively within a team
  • Self-Driven and can work within a team environment

Experience:


  • Previous experience in a similar role, is preferred. As well as previous experience and knowledge of the telecom construction industry is a plus.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines
  • Excellent attention to detail and accuracy in data entry
  • Proficient in using the accounting software QuickBooks Online
  • Familiarity with front desk operations and customer service principles
  • Knowledge of phone systems and handling incoming calls professionally
  • Experience in event planning or personal assistant roles is a plus
