Reporting to the Chief Executive Officer (CEO), the Executive Assistant is responsible for a full range of administrative duties, and ensures overall efficiency and ease of operation.


Additional duties and responsibilities include:


  • Provides administrative and technical support to the CEO; coordinates and maintains schedules, manage files, and initiates action as required; actively manages the flow of correspondence, in a timely manner, and reviews communication, as appropriate.
  • Coordinates and manages all credentialing needs; manages reception staff needs and schedules; manages oncall schedules; coordinates all purchasing and purchase orders; records and maintains minutes; manages petty cash fund; manages clinical and nonclinical contracts.
  • Coordinates and schedules meetings with internal/external colleagues and stakeholders;
  • Receives information, compile and prepare specific responses and reports; exercises professional judgement and decision making skills, in the absence of the CEO, including deciding when to contact and when to handle matters autonomously.
  • Maintains regulatory licenses, survey reports, accreditations, contracts, and other administrative files, in a wellorganized fashion, ensuring all confidential material is maintained and processed in accordance to policy and procedure.
  • Prepares letters and memos regarding confidential and sensitive matters; provides technical guidance on standard operating procedures, rules and regulations. Supports special project request by collecting data, making inquiries, and generating professional level results; updates manuals and policies; periodically updates and maintains staffing personnel list.
  • Fosters effective communication in the milieu consistent with therapeutic goals; fosters effective communication with staff members, and champions dialogue in addressing concerns.
  • Serves as a role model for patients/residents to observe and learn socially effective values, attitudes and behaviors and demonstrates Service Excellence.
  • Interprets facility and departmental policies and works cohesively with department in the attainment of organizational objectives.

Qualifications:

  • Demonstrated skill in preparing correspondence, typing memos, reports, and correspondence equivalent to a minimum of 60wpm, with mínimal errors.
  • Demonstrated ability to compile, coordinate and prepare reports; monitor and analyze data, and accurately prepare financial/statistical reports.
  • Demonstrated ability to supervise the scheduling, work, and performance of others.
  • Associates degree preferred, or equivalent combination of education, knowledge, skills and abilities that provides the requite experience.
  • Demonstrated knowledge of credentialing and medical staffing standards and guidelines strongly preferred.
  • Previous experience working in hospital or equivalent setting, providing senior level administrative support preferred.
  • Demonstrated ability to communicate effectively, both verbally and in writing.
  • Must be able to handle multiple competing task, with minimum supervision, and take initiative on matters of revolving urgency.
