Administrative Coordinator - Construction

As we continue to grow, we are seeking a detail-oriented and organized Administrative Coordinator to join our team.


Responsibilities:


  • Assist in the preparation and organization of construction project documentation, including COI, Contracts, Change Orders, etc.
  • Coordinate meetings, appointments, and site visits for project managers and construction teams.
  • Manage and maintain projectrelated files, records, and correspondence.
  • Assist in the processing of invoices, expense reports, timecards.
  • Liaise with General Contractors, vendors, and suppliers to ensure timely delivery of materials.
  • Monitor project timelines and deadlines, alerting project managers to any potential delays or issues.
  • Prepare and distribute project status reports and updates to internal stakeholders.
  • Assist with general office duties, such as answering phones, greeting visitors, and managing office supplies.

Requirements:


  • Previous experience in an administrative role within the construction industry is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and construction management software. Quickbooks (required)
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with all levels of staff, clients, and vendors.
  • Detailoriented and thorough, with a commitment to accuracy and quality.
  • Ability to work independently with mínimal supervision and as part of a team
  • High school diploma or equivalent; additional certification or training in construction management or administration is a plus.
