Position Goal


The Administrative Assistant works under the supervision of the Director to support and assist in the coordination of the curriculum, supervisory, and business tasks of the Director and to provide an efficient, organized office operation.

The Administrative Assistant schedules meetings and appointments, prepares correspondence and reports, and otherwise relieves the Director of clerical work and minor administrative and business details by performing the following duties.


Qualifications:

High School Diploma or GED required; AA or BA preferred.

Excellent secretarial experience.

Demonstrate professionalism in attitude, dress and office demeanor.


Excellent human relation skills; ability to establish and maintain effective relationships with the public, parents, administrators, teachers, and other district employees.

High proficiency in typing, word processing, and spreadsheet production with accuracy.

Strong organizational and planning skills.

Ability to maintain strict confidentiality.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Support the Director by providing assistance with administrative functions.

Demonstrate positive interpersonal interactions with all district employees, parents, and visitors.


Provide information and answers to questions in situations requiring judgment and knowledge of policies and procedures, including federal, state, county, and district.

Compose and send routine correspondence.

Schedule appointments and meetings; arrange travel schedule and reservations for the Director.

Answer telephone, provide information to callers, take messages, forward calls, and place outgoing calls.

Read and respond to or route incoming mail. Prepare outgoing mail.

Prepare purchase requisitions and monitor all budget expenditures of accounts assigned.

Maintain financial records and budget for Director.

Establish and maintain highly confidential files and records.

Compile information for district, county, state, or federal reports. May involve creating and updating databases.

Prepare reports, correspondence, and documents as necessary.

Attend meetings as assigned for the purpose of conveying and/or gathering information required to perform duties and responsibilities.
