Under general directions, the Administrative Assistant performs a variety of tasks and projects to support the HR team.

Coordination in areas such as but not limited to assisting with the recruitment for all open job requisitions, interviewing, record-keeping, new hire onboarding management, as well as overall support of the strategic operational goals of SkyTech Security's Human Resource Department.


Responsibilities:


  • Provide preemptive support to the HR team to facilitate all primary HR functions
  • Facilitate employee onboarding process as needed (including reference, employment and background verification)
  • Completes all HRIS data entries and reviews documents to ensure accuracy, compliance and completion during the new employee onboarding process
  • Responsible for updating employee personnel files to document personnel actions and provide information for the HR and payroll departments
  • Answer incoming calls for the Human Resources Department
  • Conduct telephone screenings and live Interviews
  • Facilitate weekly orientation class for potential hires
  • Follow up with employee's onboarding paperwork and requirements
  • Key in demographic information and maintain confidential personnel files
  • Service employee database records
  • Assist with uniform distribution and/or exchanges
  • Ensure that all timesheets are sent and received by remote/field employees on a weekly basis while validating signatures and dates.
  • Coordinate with field supervision on a daily basis for the management of timesheets.
  • Complete the data entry of certified payroll.
  • Manage and enroll employees in direct deposit and prepaid cards.
  • Sort and distribute payroll checks on a weekly and biweekly basis.
  • Scan and file A/P, A/R, and payroll documentation.
  • Other duties as assigned

Requirements:


  • High School Diploma/ GED or Transcript
  • One year of office experience
  • Must possess strong interpersonal skills
  • Ability to effectively present information and respond to questions from managers, support staff and the general public
  • Proficient technical/analytical skills, specifically in HRIS, payroll/scheduling and Microsoft Office programs (Word, Excel, PowerPoint, etc.)
  • Must be able to effectively read and interpret information, present numerical data in a resourceful manner and skillfully gather and analyze information
  • Must be able to prioritize and plan work activities as to use time efficiently
  • Must be organized, accurate, thorough, and able to monitor work for quality
  • Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback
  • Exercise good judgement and utmost discretion when handling sensitive or confidential information
  • Eagerness to learn and take on new and stretch assignments
