    Scion Nonprofit Staffing has been engaged to conduct a high-priority search for a Nonprofit Operations Coordinator for our client, an amazing nonprofit that strives to reunite children in the foster care system with their families and empower children throughout Ohio. This is a wonderful opportunity to be part of an impactful and professional growing nonprofit. This is a direct-hire, full-time opportunity working a hybrid schedule with four days onsite in Cleveland, OH

    OVERVIEW
    The Operations Coordinator reports to the Operations Manager and supports the Operations Team, Program-specific Team, and operational program needs. The Operations Coordinator works daily to ensure consistent processes across the organization, works collaboratively with all team members, and partners with external partners and consultants.

    The primary functions of this role include but are not limited to administrative support, coordination of meetings, note taking, coordination of project plan activities, contract management, systems management, fiscal records processing/management, and arranging travel for team members.

    RESPONSIBILITIES
    Operations
    • Supports the Operations Team with meeting coordination and scheduling, preparation of meeting materials, note taking, document management in SharePoint and other systems, and supporting other operational needs as requested.
    • Responsible for supporting Strategic Plan efforts and tracking.
    • Assists the Executive Director, Director of Strategy, and Operations Manager with monitoring and providing updates for the Strategic Plan Goals, Strategies, Action Items/Tasks, and Project Plan activities.
    • Creates organizational contract management systems and processes for the monitoring, updates, amendments, and organization of operational and program contracting.
    • Routine communication with external partners and stakeholders related to contract drafting, execution, and management.
    Travel Coordination
    • Responsible for making travel arrangements (including lodging, airfare, rental cars, conference registrations, etc.) for team members.
    • Coordinate travel for conferences, workshops, meetings, partner site trainings, etc.
    • Responsible for communicating travel arrangements to staff in a consistent manner through the utilization of tools and tracking methods.
    Programs
    • Responsible for supporting troubleshooting efforts, answering questions, data entry, and report compilation within the Learning Management System (LMS).
    • Demonstrate LMS competencies for maintaining updates and imputing new information, course content, new training descriptions, staff onboarding, and ongoing training and completion.
    • Centralizes, organizes, and updates project and subcommittee documents, communications, tools, data, SharePoint, etc.
    • Assists Trainers with coordinating training.
    • Assists Director of Strategy and Operations Manager with managing training requests and consulting inquiries.
    • Participates, coordinates, and maintains all necessary documents for projects and development.
    • Assists with coordinating, tracking, and monitoring program specific communications, advertising, and marketing.
    • Ensures timely submissions of invoices/reports, review of invoices, and closing communication loops.
    • Bundles invoices using Adobe.
    • Maintains consistent filing of invoices/reports in respective SharePoint sites.
    • Maintains regular communication with Program Directors, Finance Director, and Department of Children and Youth (DCY) representatives.
    Equipment & Inventory Management
    • Responsible for ordering and managing promotional items and materials.
    • Responsible for assisting the Information Technology vendor with inventory management.
    • Responsible for ensuring staff have adequate information, technology supplies, and equipment.
    • Responsible for assisting the Information Technology vendor with the distribution and shipping of equipment, as well as processing returned equipment in a timely manner.
    • Responsible for assisting with special projects as needed and requested.
    QUALIFICATIONS
    • Demonstrated experience working with interdisciplinary teams utilizing innovative strategies to overcome obstacles.
    • Possess great facilitation and interpersonal skills including conflict management and medication strategies.
    • Exceptional interpersonal skills.
    • Ability to work independently to meet multiple deadlines and manage multiple tasks.
    • Ability and comfort working with diverse populations in various environments.
    • Time management and strong organization .
    • Experience maintaining an internal SharePoint site and a high level of proficiency in Microsoft Office strongly preferred.
    • Experience using Adobe, Smart Sheets, and DocuSign.
    • Experience managing an LMS is preferred.
    • Bachelor's degree preferred.
    COMPENSATION AND BENEFITS
    This opportunity offers an annual salary of $55,000 - $65,000 plus a full and robust benefits package including health, dental, vision, disability, retirement plans, and a generous amount of paid time off plus additional floating holidays.
