Primary Responsibilities

  • Partner with the Chief Executive Officer and Chief Administrative Officer to oversee the general operation and upkeep of residential homes in Chicago and other locations, calendars, travel plans and administrative tasks, keeping daytoday operations running smoothly
  • Book travel plans including flights, ground transportation, reservations, excursions etc. for both executives and internal employees.
  • Manage schedules and calendars. Work closely with the CEO, and CAO as necessary, to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Flag and arrange personal and professional appointments such as doctor, dentist, vet, salon and other professional appointments especially during business trips
  • Driving around Chicago periodically for errands, airport runs, projects at local residence etc.
  • Periodic use of company vehicle to drive to Carmel, IN
  • Schedule property maintenance and repair work, supervise projects
  • Pay bills and catalog due dates, account numbers
  • Keep a catalog of all administrative information
  • Schedule and supervise cleaning staff and other vendors
  • Meal planning and grocery shopping, light food prep
  • Keep running inventories and purchase supplies and requested items
  • Light cleaning duties in between regular visits from cleaning staff
  • Laundry, linens, dry cleaning
  • Assist with general programming and usage of electronics such as TV's, cable boxes
  • Event planning, organizing, and coordination
  • Automotive maintenance and scheduled checks for corporate vehicles
  • Scheduled assessment of property needs and administration of projects
  • Assistance with organizational solutions
  • Ability to function well in a highpaced environment; performs additional duties as assigned by executives
  • Other projects/duties as assigned for the overall benefit of the organization and/or CEO

Qualifications

  • Previous experience in an administrative support role, preferably supporting a CEO or other senior executive is preferred
  • Previous travel planning experience is helpful
  • Strong interpersonal skills
  • Excellent time management skills and proven ability to meet deadlines.
  • Strong verbal and written communication skills
  • Proficiency with MS Office, web browsers and search functions
  • General technological proficiency with televisions, computers, sound systems and other electronics
  • Ability to manage sensitive matters with a high level of confidentiality and discretion
  • Must pass background check
  • Reliable and punctual

Pay:

- $18 to $25 an hour depending on experience
