The Training Coordinator organizes, schedules, and administers The Manufacturers' Association training programs to support member organizations and regional manufacturing companies.
This position, in coordination with the Director of Workforce Development, helps to recruit and enroll training participants, manages class rosters, schedules courses and all other aspects involved in administering training courses.
This position also works with the Navy Talent Pipeline Program (TPP) to track data, participating employers, coordinates meetings and other administrative activities required by the program.
The Training Department at the Manufacturers' Association is a key economic driver for the success of the company.Training Department staff are required to collaborate very closely with all other departments of the organization because of how closely training works with membership, apprenticeship, accounting, events, etc.
Training staff typically interact the most with member companies and must be able to communicate effectively and timely to exceed the expectations of these important stakeholders.
Duties and Responsibilities:
As a Training Coordinator, you will be responsible for managing various administrative and organizational aspects of training programs within our organization, ensuring seamless coordination and delivery of educational initiatives.
Below are the primary job duties:
Maintains and Tracks Class Registrations:
- Manages the registration process for training classes, ensuring accuracy and completeness of participant information and documentation.
- Tracks registrations, cancellations, and attendance records, maintaining uptodate databases and reports.
Schedules Classes, Calendars, Materials:
- Coordinates class schedules and training calendars, considering availability of trainers, facilities, and participants.
- Communicates schedule changes and updates to relevant parties in a timely manner.
- Ensures classrooms are prepared, setup properly and organized for each class
- Procures and maintains necessary classroom materials, equipment, and supplies for training sessions.
- Coordinates with vendors and suppliers to ensure timely delivery and inventory management.
Meets with Training Vendors:
- Under the supervision of the Director of Workforce, reviews training contracts, pricing, and terms with vendors, ensuring costeffective solutions that meet program objectives.
Coordinates Billing Records:
- Coordinates billing and invoicing processes for training services rendered, ensuring accuracy and timeliness of sending to Training Manager
- Completes billing with 100% accuracy to ensure member satisfaction
Updates Website:
- In coordination with the Marketing Coordinator, updates the organization's website with relevant training information, including course descriptions, schedules, and registration details and costs.
- Ensures website content is current, userfriendly, and aligned with organizational branding and standards.
Administration for Navy Talent Pipeline Program (TPP):
- Coordinates administrative tasks with MA Facilitators related to the Navy Talent Pipeline program, including participant onboarding, documentation, and grant reporting.
- Works with TPP team, MA Facilitators, to ensure reports are submitted in a timely manner meeting required regulations
- Coordinates communication and collaboration with MA Facilitators between program stakeholders, including the TPP contractor, US Navy personnel, training providers, and organizational leadership.

Requirements:
- Associate degree or higher with experience in organizing and administering training programs and advocate of team concept and customer culture
- Demonstrated ability to gather and analyze facts and implement to obtain objectives
- Proof of proficiency in computer skills with all Microsoft Office products, Google Docs. Power BI preferred
- Ability to work flexible hours as may be needed and travel as required to perform duties
- Must be organized with proven ability to multitask to assist with Association activities and programs.
- Comfortable in communicating with senior leadership of member companies, school districts and other community partners.
- Maintain up to date knowledge and participate in training when necessary
Working Conditions:
- Occasional evening hours may be required
- Work setting is primarily in an office/sedentary environment requiring occasional lifting/moving boxed materials to setup for trade shows and marketing events.
- Must possess mental and emotional agility to work in stressful environments.
