Job Summary


The Graduate Records Coordinator for Online Programs will oversee plans of study, exam forms, and non-credit to credit request processes for online students, as well as design and implement process enhancements in these areas to improve the online student experience.

As the liaison to Purdue Online, the Records Coordinator will design, develop, and host trainings for student support personnel, and be the single point of contact for Purdue Online staff relative to graduate records.

This position will be responsible for audits and tracking for online programs, and will assist with other tasks in the Office of Graduate Records as needed.

In addition to duties associated with graduate records, the Records Coordinator will perform format consultations and manage the deposit process for online programs that have thesis or dissertation requirements for the Thesis/Dissertation Office.


Responsibilities:


  • Track online students, and ensure student program codes properly reflect online or hybrid program types. Verify status with departments, and make program updates where needed. Assist with setting up, verifying, and maintaining course templates for plans of study for online programs.
  • Oversee noncredit to credit processes. Assist in reviewing noncredit to credit proposals for online programs, confirm completion for students admitted to online programs, add credit from approved noncredit pathways to student plans of study, and work with the Registrar to transcript noncredit activities.
  • Provide training on key processes to graduate coordinators and other faculty/staff who work with online programs. Create, update, and disseminate ADA compliant training materials for key records or thesis/dissertation processes, including training manuals and video tutorials.
  • Offer format consultations to thesis masters and doctoral students prior to their final defense, and verify registrations for students depositing a thesis/dissertation.
  • Manage deposits for online students, ensuring that the thesis meets all Purdue Graduate School requirements.
  • Propose, design, and/or implement changes for continuous improvement in all student records and graduate processes.

  • BA/BS degree
  • One year of relevant work experience
  • Excellent customer service and verbal/written communication skills
  • Strong organizational skills and attention to detail with a commitment to quality
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong computer skills including Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to identify issues and recommend potential solutions
  • What Is Helpful:
