JOB SUMMARY
This is complex clerical position working for the Senior Center unit. The primary responsibility of the position is the oversite of the Copilot database which is used by Senior Centers. Besides the database, other clerical work is done for the Senior Center unit on a daily basis. Work is performed with considerable independence.


ESSENTIAL JOB FUNCTIONS

  • Manage COPILOT database that is used by 9 Senior Centers. Run reports to ensure complete and accurate information is entered by center staff. Follow thru with centers to ensure corrections.
  • Print monthly written reports from Senior Centers and check against the data in COPILOT to ensure accuracy. Follow thru with centers to ensure corrections.
  • Check SAM's database prior to importing consumer files from COPILOT into SAMS to eliminate duplicate files.
  • Enter H & W assessments and NAT-E's into SAMS on a monthly basis or as needed.
  • Assist with returning calls and enrolling participants in Senior Center and Health and Wellness programs.
  • Assist other unit staff on special projects as requested such as LCOA Virtual Connections, Senior Games, Holiday program, Farmers Market voucher program, all center picnic, packing supplies, and constructing registration packets.
  • Take daily meal counts and forward to congregate meal provider.
  • Collect and print monthly Senior Center calendars and forward to recipients.
  • Assist with bulk mailings for Senior Center unit programs.
  • Assist with Senior Games by participating on the Senior Games Committee, keeping minutes at meetings, and other duties as needed.
  • Attend monthly Senior Center manager meeting and keep minutes.
  • Assist with other clerical duties as assigned

MINIMUM QUALIFICATIONS
Six months as a Clerical Specialist, and educational development to the level of completion

of high school; or

One year of progressively complex clerical experience and completion of high school; or

Six months of moderately complex clerical work and completion of a post high school

business curriculum; or

Any equivalent experience and/or training which provided the required knowledge, skills,

and abilities.


KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of English grammar, spelling and punctuation.

Knowledge of standard office procedures, practices, conduct, and actions necessary in maintaining positive working relationships.

Demonstrate strong communication skills both verbally and in writing.

Strong organizational skills and attention to details.

Ability to proofread information for completeness, grammar, and accuracy.

Ability to enter data information with efficiency and accuracy.

Ability to collect and organize information and present the information in a report or spreadsheet format.

Ability to compose correspondences in reply to requests or questions on the work process or related information.

Ability to excericse professional judgment and discretion in interacting with internal and external customers.

Ability to make decisions on the basis of well defined policy and procedures.

Ability to operate office equipment such as a cell phone, fax machine, photocopier, and scanner.
