Office Management

We are seeking a dynamic and detail-oriented Office Coordinator to work at the Headquarters of this fast growing company.

You will need a strong background in strategic planning and a diverse skill set that can pivot quickly between tasks, within accounts receivable, accounts payable, payroll, high computer acumen, and detailed execution.


This role requires adept multitasking abilities, exceptional organizational skills, and a proactive approach to support our executive team in a fast-paced environment.


Responsibilities:


High Computer Acumen:

  • Utilize advanced computer skills to streamline processes, manage databases, and produce reports and presentations with accuracy and efficiency.
  • Serve as the goto person for troubleshooting technical issues and implementing technological solutions to enhance workflow.
  • Financial Duties

Accounts Payable/Receivable/Payroll:

  • Oversee accounts payable functions, ensuring accounting team is processing invoices, payments,
  • Overseeing Credit Card Expense reports in a timely manner.
  • Assisting to keep costs down, and monitoring office spend
  • Manage accounts receivable, handling invoicing, billing, and collections efficiently.
  • Reconcile financial discrepancies and address paymentrelated inquiries promptly with accounting team.
  • Initiate payroll, facilitating onboarding and offboarding to various software

Office Management:

  • Maintain an organized and efficient office environment, overseeing administrative tasks, supplies, and vendor relationships.
  • Coordinate office procedures and ensure smooth operations, including managing schedules, coordinating, setting up meeting space, note taking during meetings, and handling correspondence.
  • Implement and improve office policies and procedures to enhance overall efficiency.

Strategic Planning:

  • Collaborate closely with executive leadership to facilitate strategic planning initiatives, assisting in the development and execution of actionable plans.
  • Conduct indepth research, compile data, and perform analysis to aid in strategic decisionmaking processes.
  • Assist in setting up frameworks for goal tracking, KPI monitoring, and progress reporting

Fast-Paced Support:

  • Provide highlevel administrative support in a fastpaced setting, managing calendars, travel arrangements, and communications with agility.
  • Handle confidential information with discretion and professionalism, maintaining confidentiality and accuracy at all times.

This job description emphasizes the need for a versatile and proactive individual who can handle multiple facets of executive assistance, strategic planning, financial management, and office administration in a fast-paced setting.


REQUIREMENTS:


  • Proven experience 3+ as an office adminstrator, demonstrating expertise in strategic planning, accounts payable, accounts receivable, and office management. Strong strategic thinking and analytical abilities with a track record of contributing to successful planning initiatives. Proficiency in accounting software, excellent financial management skills, and a keen eye for detail in handling financial records. Advanced computer skills including proficiency in Microsoft Office Suite, CRM systems, and the ability to quickly adapt to new software/tools. Exceptional multitasking abilities, adept at managing various responsibilities in a fastpaced environment without compromising quality. Outstanding communication skills, both written and verbal, with the ability to interact professionally at all levels. Bachelor's degree in Business Administration, Finance, or a related field preferred.
