The ASU Art Museum is seeking a Visitor Services Coordinator.

This position is responsible for managing the daily operations of the museum's front-of-house activities including visitor services & retail shop.

The Visitor Services Coordinator will also lead and organize all onsite event logistics including timeline, set-up, staffing, and vendor communications.


  • This vital role encompasses the hiring, training, and supervising of our frontline team of student workers. The VS Coordinator provides strong leadership and operational support, maintaining the functionality, efficiency, and professionalism of the department to ensure smooth frontofhouse operations and an exceptional visitor experience.
  • The schedule will be Wednesday-Sunday in alignment with the Museum's public operating hours. Additional hours or lastminute schedule changes may be necessary to meet the job requirements; this could encompass evening hours, special event coverage and other operational needs requiring immediate attention and emergencies during nonscheduled work hours.

Essential Duties
Visitor Services (60%)

  • Direct daily operations of the Visitor Services department to ensure the department adheres to longterm operational goals, budgets, and objectives.
  • Lead front on house activities with a focus on excellent customer service including response to visitor complaints, concerns, and other feedback.
  • Hire, train and supervise Museum Ambassadors
  • Manage Museum Ambassador's schedules and ensure appropriate coverage
  • Manage welcome desk; ensure visitors are admitted to the museum in an efficient and welcoming manner, assisting with checkin and sales during high volume periods and staff breaks
  • Supervise visitor experience on the floor, working with Curators and programs managers to ensure adequate staffing in each space.
  • Develop and schedule program/event work plans per specifications, objectives and funding limitations.
  • Prepare budget proposals and establish a system for controlling departmental expenditure per budget allocations.
  • Interface with the Security department to ensure the safety and security of all staff, visitors, and art.
  • Manage visitor data collection; assemble, analyze, prepare and deliver reports as needed
  • Track attendance and generate a variety of reports
  • Collaborate with the Public Engagement department to develop cohesive school tours and Museum Ambassador tour booking processes.
  • Special projects and duties as assigned.
Retail Operations (15%)

  • Supervise and manage daily retail operations of the Museum's shop including but not limited to opening and closing, point of sale transactions, sales reporting, restocking, and merchandising
  • Maintain an efficient and secure cashhandling system
  • Assist with consignment partnerships and vendor payments
  • Responsible for the visual appeal, cleanliness, and organization of merchandise
Tour/Event Planning (25%)

  • Coordinate all aspects of the Museum's Tour program; managing tour requests, scheduling and participant communications.
  • Assist with the museum's onsite events and parts of the facility rental program
  • Facilitate workshops, meetings, or conferences with high impact on programs and/or participants.
  • Maintain direct contact with personnel of various outside organizations and university departments associated with scheduled tours/functions/programs.
  • Serve as a representative to ensure all aspects of the Museum's programs are implemented and controlled according to plans.

Minimum Qualifications


Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Demonstrated knowledge of customer service, retail sales & event management
  • Retail sales or hospitality work experience preferred.
  • Experience in pointofsale register and cash handling proficiency.
  • Demonstrated knowledge of supervisory practices and principles.
  • Experience with budget preparation and forecasting.
  • Demonstrated knowledge of basic project management.
  • Experience in coordinating and prioritizing work and activities of self and others.
  • Experience in establishing and maintaining effective working relationships.
  • Evidence of effective communication.
  • Demonstrated knowledge of ASU's Student Employment Policies & Procedures.
  • Experience with ASU's timekeeping and hiring systems such as TAS & PeopleSoft preferred
