    **This recruitment is for the Health Department only**

    The Records Program Specialist - WOC acts as the subject matter expert and lead for the BHD Records Team to support and maintain the work of Records Staff for the entire Behavioral Health Division. This position provides technical assistance and consultation to Division staff for all Records and Health Information Technology needs.

    ***This is a work out of class position/assignment that will last up to six (6) months, but may end sooner.***

    As the Records Program Specialist - WOC, other duties will include:

    General Records Oversight
    • Act as subject matter expert (SME) and/or coordinator of the Records program to provide records related training to new and established BHD units/programs.
    • Provide ongoing support Division-wide around HIPAA and 42 CFR Part 2 rule changes and Records related support needs.
    • Help lead monthly Records Team meetings.
    • Evaluate Records or Privacy related operational needs and work with the Manager or Senior Manager to assess action steps.
    • Implement action steps as directed by leadership.
    • Provide analysis of HIPAA and 42 CFR Part 2 rule changes to leadership for policy and procedure updates.
    • Formulate recommendations and work with leadership to implement policies, procedures and workflows based on leadership decisions.
    • Provide SME support with HIPAA incidents, act as the EthicsPoint point of contact for the Division and the Privacy teams, including records cleanup in Evolv, saving and redacting documents in the shared drive, adding case notes to EP, and corresponding with the Privacy team and/or BHD staff.
    • Provides morning report coverage/backup coverage and trains new staff on the morning report procedure.
    • Assist with onboarding and training new Records staff.
    • Provide workload coverage for other Records staff when they are out of the office.
    • SME interface with Evolv Support for upgrades, new form consultation, and changes needed in the system.
    Policies and Workflows
    • Develop, implement, and maintain quality management plans and systems to ensure compliance and achieve program outcomes; develop training materials regarding new procedures, regulations, and services about the BHD Records Program.
    • Evaluate current procedures and policies, recommend updates to existing or create new procedures, policies, etc.
    • Represent the Records Program to internal and external partners, conduct system evaluation and assessment, enact quality improvement and staff training needs.
    • Conduct workflow analyses to identify areas for improvement, simplify redundant processes, and address quality assurance; develop and implement training for revised or new processes.

    Minimum Qualifications (REQUIRED):

    Experience/Certification:
    • Registered Health Information Technician(RHIT) Certification by AHIMA.
    • Three (3) years Behavioral Health Division Records experience.
