SUMMARY OF POSITION
The Solomon R. Guggenheim Foundation is looking for an Associate, Special Events who will play a key role in supporting special events such as fundraisers, exhibition openings, and cultivation events. This position involves managing event bookings, collaborating with different departments, and ensuring seamless event execution.
SKILL & EXPERIENCE REQUIREMENTS
- 1-2 years of experience in Special Events or event production, preferably in the arts field.
- Ability to maintain confidentiality.
- Strong organizational and time management skills.
- Flexibility to work onsite with varying hours.
- Excellent communication skills.
- Detail-oriented with the capacity to handle multiple projects.
- Proactive and independent with decision-making abilities.
KEY RESPONSIBILITIES
- Manage the museum's event calendar, both on-site and digital, in coordination with various departments.
- Lead meetings to plan short-term and long-term event schedules.
- Develop electronic invitations for internal events.
- Handle invitation lists and data processes for events.
- Coordinate onsite event logistics and manage ticketing.
- Track event budgets, process invoices, and compile post-event data.
- Support key fundraising and exhibition opening events.
- Liaise with internal and external stakeholders for event preparation.
WORK DEMANDS & ENVIRONMENT
- Travel within the metropolitan area may be required.
- Ability to work flexible hours, including evenings, overnights, and weekends.
- Capable of lifting at least 20 lbs.
EDUCATIONAL
BA/BS or equivalent experience
