This executive assistant position is responsible for a variety of high-level project and administrative duties in support of the Chief Information Officer.

Responsibilities are technical, complex, professional, and confidential in nature requiring a high degree of initiative and independence.

The role requires an individual who is detail oriented, skilled in planning and organizing, has a sense of urgency and able to prioritize, ability to handle multiple projects and tasks, ability to problem solve and bring resolution while maintaining confidentiality.

As an Executive Assistant to the CIO, you will:

  • Assist the CIO in preparing for Executive Leadership Team meetings, O&T Team meetings, one on ones and other meetings.
  • Prepare and coordinate data/materials for business line presentations to ensure accuracy of data and timely distribution, including those to the Board of Directors and Risk Committee.
  • Manage the calendar of the CIO. Determine the urgency of requests and prioritize accordingly to complete tasks in a timely manner. Manage longterm view of calendars strategically by collaborating with key partners and understanding priorities.
  • Supports the Operations & Technology Leadership Team and other senior managers, as requested, including backup support and assistance to other Executive Assistants.
  • Act independently to coordinate smaller complex projects from beginning to end, which would include breaking down the tasks, setting goals and timelines, assessing resources needed, identifying potential issues and maintaining a project plan to reach the end goal on time. Anticipate questions relating to project work and have background or logístical information available as needed.
  • Provide administrative and planning support, including but not limited to processing mail, receiving and screening phone calls, inbox management, event planning and tracking event attendees, scheduling conference rooms and meeting coordination, travel and accommodation arrangements, submitting expense reports, appointment scheduling, ensuring office equipment is properly maintained, assisting with new colleague setup, invoice processing or other clerical/administrative projects.
  • Drive deadlines and deliverables while adapting to ambiguity and changing business needs, priorities, or expectations.
  • Exercise judgment and independent initiative; handle timesensitive matters that require concise problemsolving and confidentiality.
  • Interact daily with executives, senior leaders and colleagues at all levels to collaborate, plan and prioritize work to accomplish CIO objectives.
  • Identify process improvement opportunities proactively and recommend solutions to promote operational efficiencies.
Education

  • Bachelor's Degree or equivalent combination of education and experience Business or Project Management. Required
Experience

  • 35 years Executive Assistant, Personal Assistant, or similar role. Required.
  • 35 years Advanced knowledge of MS Office including Outlook, Word, Excel, PowerPoint, One Note, Teams and the ability to learn other programs. Required
  • 35 years Excellent organizational skills with attention to detail and the ability to handle concurrent tasks and constant interruptions. Required
  • 35 years In a role that requires a high degree of flexibility with the ability to independently interpret polices and solve nonroutine, complex issues under mínimal supervision. Required
