JOB SUMMARY:


ESSENTIAL FUNCTIONS:

Operations

  • Conducts the nonexempt and H2A interviews, new hire orientation, onboarding, and training for the various worksites.
  • Coordinates the arrival and departure of the H2A workers.
  • Maintains and tracks new hire activities, including new hire paperwork, policies, taxwithholding, direct deposit, emergency contacts, and policy acknowledgement completion along with employee referrals if applicable.
  • Serves as a main point of contact for employees with HR related inquiries for the Farm Locations (OR, NY, AZ).
  • Ensures a compliant vetting process and worker assignment occurs for FLC.
  • Conducts audits of the FLC program and ensures all state and federal requirements are met.
  • Partners with various departments (Payroll, IT, Finance, Operations etc.) to streamline and improve current processes.
Payroll

  • Audits timecards each pay period and assists supervisors with the completion of timecard corrections prior to the pay date.
  • Assists with ensuring the AEWR rate is applied accordingly to ensure proper payment.
  • Ensures proper coding, invoicing and answers questions related to timekeeping to ensure FLC compliance.
Compliance

  • Ensures prescreening for local drivers (i.e. road test, medical examiner's certificate, and MVR Reports).
  • Responsible for WOTC Results for all locations.
  • Process I9 and E-Verify submissions, and all other State and Federal forms required.
  • Maintains employee files and manages recordkeeping projects.
  • Assists with H2A system audits to ensure compliance and adherence to the H2A program.
  • Coordinates the requests for the H2A subsistence and travel reimbursements.
May be responsible for other duties as assigned, including but not limited to providing support to Payroll, HR Systems, Benefits, and Leave team members


QUALIFICATIONS

EDUCATION/EXPERIENCE

  • Minimum of Bachelor's Degree in Business Administrative, Human Resources or equivalent experience.
  • 2+ years administrative experience, preferably in an executive support role.
  • Multistate wage and hour law knowledge, including, federal and state employment regulations (AZ, OR, NY, CA).

OTHER QUALIFICATIONS

  • Must be bilingual English/Spanish.
  • Excellence in spelling, grammar, and punctuation.
  • Ability to manage multiple priorities and work accurately and independently in a fastpaced environment with minimum supervision.
  • Effective communication with visitors and staff members of all levels in the company.
  • Discretion, sensitivity, and confidentiality. Demonstrated ability to listen, analyze and inform appropriately while maintaining the required sensibilities in handling confidential information.
  • Good customer service skills and prompt response to internal DFF employees.
  • Proficient computer knowledge (MS Word, Excel, Powerpoint).
  • Selflearner and able to multitask responsibilities.
  • Able to maintain confidential information and be trusted with all types of employee confidentiality responsibilities.

TRAVEL REQUIREMENTS
Travel to other DFF Farms, meetings, and events ("up to" 40% travel requirements)


PHYSICAL DEMANDS/WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Employees must be able to lift up to 35 pounds. Employees will be required to walk, stand, kneel, stoop, and bend.

Employees must be able to work outdoors in inclement weather conditions, including rain, cold, heat, and high winds on occasion.

Employees must be able to work in temperatures that can range from 30 degrees Fahrenheit to over 100 degrees Fahrenheit during the time of employment.

Work is performed based on weather temperatures, employees must be able to work in the day, sometimes evening, sometimes nights, and weekends, and occasional travel to the other farm sites.

This role can be exposed to dusty conditions, exposed to mud, and other natural elements. This role will need to abide by the Worker Protection Standards.
