The Contracting Specialist is responsible for onboarding new agents, and managing all information related to select insurance carrier appointments in the internal database systems.


Duties/Responsibilities:


  • Ensure that HPOne has the most current carrier appointment requirements and process on file and maintain and organize requirements within QuickBase database system for easy access and to provide as a tutorial for other department members
  • Complete, submit and follow up on carrier appointment paperwork for all internal HPOne agents and agency
  • Send contracting paperwork to agents to obtain signatures
  • Submit appointment fee requests to Finance Department where applicable
  • Maintain electronic files of all agent and agency carrier appointment paperwork
  • Send carrier appointment/certification requirements/links to agents and obtain and file completion certificates electronically
  • Manage all applicable carrier appointments within the QuickBase License Management System, including status changes from submitted to fully/actively appointed
  • Ensure all appointment confirmations are received in writing from carrier
  • Submit any state license addon requests to applicable carriers and follow up to ensure active/ready to sell status
  • Provide back up to assigned "contracting partner" on applicable carriers
  • Communicate with appropriate "Sales Leaders" should you need additional assistance with agents completing certs, completing paperwork, etc.
  • Provide license ordering/renewing support
  • Provide inbound/outbound phone support
  • Provide assistance with reports
  • Perform other related duties as assigned

Required Skills/Abilities:


  • High school diploma or equivalent
  • Two years of experience in a fastpaced, administrative role
  • Excellent written and verbal communication
  • Experience in a healthcare setting
  • Highly organized with the ability to multitask
  • Strong attention to detail
  • Proficiency with Microsoft Office
  • Solid problem solving and time management skills
  • Ability to maintain confidentiality when handling sensitive, confidential information

Preferred Skills/Abilities:


  • Bachelor's degree in related field
  • Four years of experience in a fastpaced, administrative role

Physical Requirements:


  • Prolonged periods of sitting at a desk and working on a computer, typically in a cubicle environment (constant noise, fluorescent overhead lighting)
  • Able to wear headset for duration of shift
