HOURS:

Monday - Friday, 37.5 hours per week.

***:To perform on-site and centralized management support, compliance, administrative and operational duties for the Affordable Housing department.


PROGRAM RESPONSIBILITES

  • Send and receive fax verifications for new tenant move ins and annual recertifications.
  • Organizes, updates, and maintains department documents and reporting systems.
  • Provides direct administrative support to Program Director.
  • Prepare and send 120,90,60day annual recertification notification letters.
  • Schedule new tenant move ins and recertifications.
  • Verifies billings, statements and invoices from vendors and service providers and processes department purchase orders following Fiscal department schedule.
  • Collect rent checks from properties on a biweekly schedule and process per Fiscal department guidelines.
  • Perform background checks, including credit screenings, for new tenants.
  • Perform data entry of applicant information in appropriate databases to maintain program compliance.
  • Update applicant waiting list and advertising on a weekly basis.
  • Perform prequalification of applicants via phone call.
  • Attend trainings as required to maintain HUD compliance or directed and approved by Program Director.
  • Maintains office equipment and supply inventory.
  • Assists Director in the preparation of reports and participates in projects as required by program.
  • Provides other departmental administrative support as directed by the Program Director.

  • Present a professional and positive image as a representative of CAPBM.
  • Follow established policies and procedures and comply with all safety requirements.
  • Communicate proactively with the supervisor regarding workflow, problems, suggestions, etc.
  • Contribute to a positive, teamoriented work environment; and attend team and staff meetings as scheduled.
  • Be punctual for scheduled work, use time appropriately, and complete work in a timely fashion with mínimal errors.

Requirements:


Experience:


  • Three years of prior office experience required.
  • Computer proficiency, including experience in hardware and database entry and management and other businessrelated software.
  • Good verbal and written communication skills.
  • Ability to work independently.
  • Ability to establish and maintain effective communication and working relationships.
  • Effective time management and organizational skills. Ability to follow written procedures, work well under pressure and meet deadlines, without compromising attention to detail.

Education:


  • Associate's degree in business or human/social services. Education requirement may be substituted with additional years of work experience; to be determined by Director of Affordable Housing.

License/Certification:


  • Successful completion of criminal record check.
  • Valid driver's license and access to reliable transportation for required travel.
